The Talent Acquisition Coordinator plays a key role in supporting WEP Clinical's recruitment efforts and wider business operations. This position is responsible for managing the full administrative recruitment cycle, including posting job openings, sourcing candidates, screening CVs, and coordinating interviews while ensuring a smooth and positive experience for both candidates and hiring managers. The Coordinator will also assist in new hire induction day activities. In addition to talent acquisition, the role supports health and safety administration, helping maintain compliance with relevant regulations and contributing to a safe and healthy work environment across our offices. The position also supports day-to-day office management, including coordinating supplies, liaising with vendors, and creating an organised and welcoming workspace for the team.

What You'll Do: Talent Acquisition 60%
  • Manage the end-to-end recruitment administrative process, including drafting and posting job advertisements, scheduling interviews, communicating with candidates, and supporting the day-to-day recruitment activities.
  • Conduct initial screenings for select roles to assess candidate suitability and coordinate interview schedules.
  • Assist with candidate sourcing on LinkedIn according to the criteria provided by recruiters.
  • Support the use and management of AI-assisted recruitment tools to enhance the recruitment process.
  • Ensure applicant tracking systems and recruitment trackers are updated for accurate reporting, including candidate statuses.
  • Support onboarding activities to ensure a smooth transition for new hires as needed.
  • Contribute to recruitment marketing initiatives across the company's social media platforms.
  • Manage and track the company referral program.
  • Assist with the company internship program, including candidate coordination and onboarding support.
  • Contribute to ad-hoc TA and HR initiatives and projects as needed.
  • Handle sensitive matters with discretion and maintain confidentiality at all times.
Office Management 30%
  • Coordinate meeting room bookings and manage maintenance and repairs for office equipment and facilities.
  • Maintain office supplies inventory and order new supplies as needed.
  • Participate in financial reconciliation for purchases made on the HR credit card.
  • Oversee telephone and fax services, as well as mail collection and distribution.
  • Serve as a backup contact for corporate travel bookings, questions, and inquiries.
  • Liaise with the cleaning company to ensure office cleanliness and standards are upheld.
  • Maintain inventory of office perks and day-to-day essentials.
  • Support the company's social events and lunches as needed, including coordinating logistics, managing bookings, and reconciling related invoices.
Health & Safety Administration 10%
  • Administer the WEP Clinical Global Health & Safety Portal and manage the global incident reporting process, escalating investigations and next steps as appropriate.
  • Maintain accurate safety training records, incident logs, and compliance documentation.
  • Schedule and coordinate regular safety initiatives and paperwork audits to ensure compliance with local regulations across all office locations.
  • Ensure health and safety information is current, accessible, and communicated effectively across all offices.
  • Liaise with external providers to arrange health and safety services or training as needed.
What will you need:
  • Higher education or experience, preferably in Human Resources, Business Administration, or a related field.
  • 1-3 years' experience in Talent Acquisition, recruitment coordination, or a fast-paced operations role, ideally within a scaling or international environment.
  • A proven track record in office or facilities administration is essential.
  • Experience with HRIS and ATS systems is preferred.
  • Familiarity with relevant employment laws, regulations, and best practices applicable to hiring, recruitment, and human resources is preferred.
  • Effective verbal and written communication skills.
  • Ability to work independently and as a member of the team.
  • Proactive and solutions-driven, with the ability to meet multiple tasks and deadlines with high accuracy.
  • Computer-literate and proficient in Microsoft Office.
  • Ability to handle confidential information with complete discretion and to act with integrity and professionalism.
  • Strong organisational skills and attention to detail.
