Job Description
Job Overview

We are looking for an enthusiastic, hard working Receptionist/Administrator to work within our reception team supporting rotation across John Radcliffe Hospital, Churchill Hospital and OUH Cowley. The role is full time (37.5 hours per week) Monday to Friday 9:00 - 17:00.

Key attributes: reliability, flexibility, friendly disposition, good presentation, strong administrative and organisational skills, self motivation, detail orientation, excellent communication, and customer service. Confident telephone skills and courteous manner in sometimes difficult situations are essential. Good IT skills and teamwork are required.

Main Duties
  • Receive patients and visitors and direct them to the correct destination.
  • Provide a helpful and caring attitude, ensuring individual needs are met and everyone is treated with courtesy and respect in line with the Trust's values.
  • Represent the Trust as the first point of contact, communicating professionally with patients, staff, contractors and the public, including those with hearing, speech or sight impediments and who may not speak English.
  • Provide administrative support to the Complaints and PALS teams: data entry, general office duties, arranging meetings, booking rooms, and supporting the PALS service calls.
  • Arrange triage of calls to the PALS service and escalating complex issues to PALS Officers.
  • Maintain the reception area: keep it clean, tidy and presentable; report required cleaning or repair work to the helpdesk.
  • Calmly manage agitated and distressed members of the public, patients and visitors, advising them of the PALS service and formal complaints procedure.
  • Follow all reception protocols, including Department Attack Alarms, A2 Dominion Housing guidelines and any protocols that may arise during a major incident.
  • Stay locally knowledgeable of area services (post office, banks, shops, parking and security offices) and advise the public on alternative hospitals within the Trust.
  • Pursue personal development through training and competence development.
Working Conditions

Probation: 6 months (not applicable to existing Trust staff). The post is subject to Certificate of Sponsorship for eligible roles for a Skilled Worker Visa.

COVID 19: Vaccination is encouraged but not a condition of employment. Relevant guidance is available from local authorities.
