Job Description

The Pain Management Service provides a multi-disciplinary approach to support patients with chronic pain. The services are provided by Consultants, Specialist Nurses, Physiotherapists and Psychologists to provide a broad range of therapeutic and holistic based services. The service is run using one-to-one appointment time, group seminars and procedures performed within the Day Procedure Unit or at CromerHospital.

The clinic is currently based at Adelaide Street Health Centre and interviews will take place at Adelaide Street.

The admin team is comprised of Receptionists and Medical Secretaries who work closely together and support the clinical team in the delivery of high quality, patient-focused healthcare for the patients of the Norfolk and Norwich University Hospital.

Main duties of the job

The post holder will be required provide an effective reception service to the Pain Management Clinic based within the Adelaide Street Health Centre. Working closely with colleagues the post-holder's responsibilities will be to greet patients and check them in for clinic appointments, input outcome forms following patient appointments using PAS, create and collate medical records preparation and deal with complex patient queries involving the multi-disciplinary team. To ensure outpatient clinic appointments are booked with patients in line with target dates.

The post holder will need to be patient-focused and a strong team player and able to multitask.

To support the delivery of a high quality, safe and compassionate healthcare service.

Job responsibilities
  • To provide a support service to the technical, secretarial, medical and nursing staff of the Department.
  • To carry out receptionist duties, including prioritising and arranging appointments and maintaining the various appointment systems, identifying test requests and investigations, and co-ordinating the various clinics within the department.
  • To deal with patients and external and internal staff enquiries in person or via the telephone, in a courteous and confidential manner and provide assistance as required.
  • To ensure patients safety and well-being in the waiting area prior to them being called for their appointment and alerting appropriate staff to any cause for concern.
  • To keep a log of telephone requests for investigations in line with department policy, prioritising these and ensuring messages are conveyed to the appropriate technical staff.
  • To ensure appointment lists are maintained and prepared in readiness for clinical work.
  • To obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
  • To maintain a record of the transfer of notes to and from the department.
  • To understand the 18 Week Pathway, input the correct RTT codes and validate the patient pathway where appropriate.
  • To liaise with Secretaries and other departments within the Trust as necessary to ensure case notes, X-rays and referrals are available for every patient attending an outpatient clinic. Liaise with external stakeholders to obtain referrals if necessary.

Qualifications
  • Good general standard of literacy and numeracy
  • To undertake PAS training
Experience
  • Previous clerical work including data input
