Receptionist / Office Clerk - Woodlands Hospital

An exciting opportunity has arisen for a Receptionist / Administrator to join our admin team based at the Woodlands in Ipswich.
Our shift pattern is and for Reception, and for ward admin roles. There will be some weekend work and the successful applicant must be able to work all of the above shift patterns. Roster is completed in advance.

This post requires a confident, level headed individual who is flexible, adaptable and able to work on their own initiative as well as part of our team. Good communication and telephone skills are key to maintain our high level of service.
Ideally, we are looking for someone with administration experience, good typing skills and IT knowledge.
You will also work on our wards at the Woodlands, providing admin support to our clinicians. Full training for reception and administration work will be provided.
You must possess excellent time management skills, a positive approach and a friendly, helpful manner. You should remain calm under pressure and prioritise your workload.
Main duties of the job- Meet and greet - the first person patients, carers, family members and visiting professionals meet when arriving at Woodlands.
- Answer the phone, take messages and redirect calls.
- Sign in and out security packs for staff.
- Handle fire alarms and other health and safety procedures.
- Accept deliveries and direct post.
- Attend MDT morning meetings, prep for the meeting and live type updates for patient information.
- Maintain and update electronic patient data.
- Scan, photocopy and display posters.
- Support the wider admin within the unit.
- Interact with professionals, carers and service users.

Qualifications
- NVQ 2 Customer Service or equivalent qualification or experience
- Knowledge of Trust's electronic records
- Experience working in a busy reception/office environment
- Dealing efficiently and politely with internal and external customers
- Use of ICT applications/packages
- Able to work flexibly
