Employment Type: Flexible

Be the welcoming face of the college. Give people the right help, at the right time.

Reception is often the first place people meet Wigan & Leigh College.

A warm welcome matters. So does a clear answer, a calm conversation and knowing where to send someone when they need help.

As our Reception Administrator, you'll provide a professional, welcoming and efficient front-of-house service for students, visitors, staff and stakeholders. You'll answer enquiries in person, by phone and by email, helping people access the right information, department or service.

You'll also support a range of important administrative and student-facing processes. That includes appointment systems, enquiry records, fee payments, student funding documentation, bus passes, free college meals and other student support activity.

This is a role for someone who enjoys working with people, takes pride in accuracy and stays calm when things get busy. You'll need to be friendly, organised and confident using systems, records and processes.

  • Act as a first point of contact for students, visitors, staff and stakeholders.
  • Respond to enquiries in person, by telephone and by email.

  • Maintain appointment diaries, booking systems and enquiry records.
  • Keep accurate records and resources to support effective customer service.
  • Assess student fees and prepare fee-related information for college systems.
  • Process payments and other income accurately, following financial procedures.
  • Support student funding administration, including collecting and processing documents.
  • Assist with bus passes, free college meals and other student support initiatives.
  • Support college events, activities and services as directed.
What you'll bring
  • A good standard of education, including English and maths at Level 2.
  • Experience in customer service, reception, administration or a similar role.
  • Experience dealing with members of the public in a professional way.
  • Strong communication skills in person, by phone and by email.
  • Good organisation and attention to detail.
  • Confidence maintaining accurate records and using databases.
  • Working knowledge of Microsoft Office.
  • Experience handling cash, payments or financial transactions.
  • Awareness of financial handling procedures and accurate record keeping.
  • A Customer Service or IAG Level 2 qualification, or willingness to work towards one.
What you're like
  • Welcoming. You help people feel comfortable from the moment they arrive.
  • Professional. You represent the college well in every interaction.
  • Clear. You give accurate information and explain next steps simply.
  • Organised. You keep records, enquiries and tasks under control.
  • Accurate. You understand that detail matters, especially with payments and student records.
  • Calm. You stay steady when reception is busy.
  • Helpful. You look for ways to solve problems and support colleagues.
  • Flexible. You adapt to changing priorities and college activity.
Essentials
  • You'll need an enhanced DBS check. If you get the job, we'll do this for you.
  • You're committed to safeguarding, equality, diversity and inclusion.
  • You can travel and work across college sites when required.
  • You're willing to work flexibly, including occasional evenings and enrolment periods.
  • You're committed to following college policies, including health and safety, safeguarding and sustainable development.
