Duration: Fixed term for up to 12 months with possibility of permanency.

Purpose of PostCIW is the independent regulator of social care and childcare. CIW registers, inspects and takes action to improve the quality and safety of services for the well being of the people of Wales. CIW's purpose is to encourage the improvement of social care, early years and social services by regulating, inspecting, reviewing and by providing professional advice. CIW carries out its functions on behalf of Welsh Ministers. We sit within the Chief Operating Officer's Group within the Welsh Government.
The post holder will support the Inspection, Registration Support or Support Services Team in carrying out a variety of administrative tasks and to assist them in achieving their corporate business objectives.
Key Tasks- Provide general administrative and digital support; act as first and/or second point of contact for calls and emails, depending on the team you are matched to. Record and distribute emails and maintain internal records as required.
- Monitor team mailboxes, process and signpost enquiries to relevant contacts across CIW and Welsh Government for further information, or refer externally to other partners & organisations.
- Arrange internal meetings as required, manage the use of Microsoft Teams and on site meeting rooms/interview rooms, take minutes and distribute papers.
- Support the office in collating documentation related to a registration or inspection, ensuring accurate input and maintenance of records.
- Assist in production of inspection, review and registration reports, monitor statutory timetable for publication, maintain control of report production process including word processing, formatting and distribution.
- Provide first/second point of contact support for CIW, offering a bilingual service where possible to the public and internal customers, receiving and responding to general and inspection enquiries and concerns. If unable to resolve, delegate to relevant team/inspector.
- Use CIW case management system to respond sensitively and confidentially to acknowledgement of concerns and notifications; provide support during enforcement action as directed by the CIW Connect Manager.
- Use CIW case management system to input accurate and timely data and notify team of problems.
- Provide cover and support to colleagues in the Chief Inspector's team and wider Senior Management team as required.
- Maintain confidentiality in all aspects of work, including handling confidential information.
- Maintain electronic filing systems (iShare), permissions and document controls to high standards of information governance.
- Manage own professional development in discussion with line manager.
- Perform any other administration duties required by line manager.

- Helpu'r swyddfa i gynhyrchu adroddiadau arolygu, adolygu a chofrestru, monitro'r gwaith o gyflawni'r amserlen statudol ar gyfer cyhoeddi, a rheoli'r broses o gynhyrchu adroddiadau gan gynnwys prosesu geiriau, fformatio a dosbarthu adroddiadau.
- Darparu cymorth pwynt cyswllt cyntaf/ail pwynt cyswllt i AGC, gan ddarparu gwasanaeth dwyieithog i'r cyhoedd a chwsmeriaid mewnol lle y bo'n bosibl, a derbyn ac ymateb i ymholiadau a phryderon cyffredinol ac ymholiadau a phryderon sy'n ymwneud ag arolygiadau. Os na allwch ddatrys yr ymholiad, sicrhau y caiff eitemau eu dirprwyo a'u trosglwyddo i'r tîm/arolygydd perthnasol er mwyn iddynt ymateb iddynt.
- Defnyddio system rheoli achosion AGC i ymateb mewn ffordd sensitif a chyfrinachol wrth gydnabod pryderon a hysbysiadau; gan gynnwys rhoi cymorth yn ystod camau gorfodi dan gyfarwyddyd Rheolwr Cyswllt AGC.
- Defnyddio system rheoli achosion AGC i fewnbynnu data cywir ac amserol; cadarnhau cywirdeb manylion cyswllt cyn cyfathrebu â darparwr; hysbysu'r tîm perthnasol am broblemau sy'n codi wrth ddefnyddio'r gronfa ddata pan na all eu datrys.
