Job Description

The UCL estate spans more than 240 buildings, over 6.5 million square feet of academic accommodation and around 4,500 student bedrooms across our Bloomsbury campus and UCL East in Stratford.

Campus Experience and Infrastructure and Estates Development (CE&I and ED) is responsible for managing and transforming this complex estate, from strategic planning and property management to the delivery of major capital projects and day-to-day operational services. Our multidisciplinary team of around 350 professionals works together to support more than 46,000 students and 13,000 staff, creating a safe, sustainable and inspiring environment in which learning and research can thrive.

As we deliver our ambitious Estates Strategy and develop a long-term Estates Masterplan, we are focused on improving the campus experience, embedding sustainability and ensuring our estate continues to support the future growth and success of the university.

About the role

Please note this role is internal only.

The Business Coordinator plays a key role in supporting the effective running of the Estates function. Working closely with the Director of Performance and Programme Management and the wider Estates Leadership Team, you will help coordinate activities that enable the department to operate smoothly and collaboratively.

This is a varied and people-focused role where you will take the lead in coordinating internal communications, supporting staff engagement initiatives and helping to ensure the effective organisation of meetings, events and key activities across the function. You will help deliver Estates-wide messaging, support staff forums and internal platforms, and coordinate communications that keep colleagues informed and connected.

You will also support important people-focused processes across the function, including staff surveys, recruitment coordination, talent and development activities, and the appraisal process. By tracking progress, coordinating information and working with colleagues across the organisation, you will help ensure the Estates team operates efficiently and continues to foster a positive and supportive working environment.

About you

You are a highly organised and proactive professional who enjoys working at the centre of a busy and collaborative team. With excellent communication skills, you are comfortable developing clear and engaging messages for a wide range of audiences and using different platforms to keep colleagues informed and connected.

You bring strong organisational and coordination skills, with the ability to manage multiple priorities, anticipate needs and keep activities on track. You are confident building relationships with colleagues at all levels, from senior leadership to new joiners, and enjoy supporting initiatives that improve how teams work together.

You are proactive, adaptable and solutions-focused, with the ability to identify opportunities to improve processes and contribute ideas that enhance the effectiveness of the team. Above all, you are motivated by supporting people and helping create a positive, well-organised and engaging working environment within a large and dynamic Estates function.
