Band 3 Admin Support - Multiple Vacancies

Location: Belfast - Beechall WBTC / Arches WBTC / Across Multiple Sites
Duration: Temporary
Salary: Band 3
Hours: 37.5 hours / 32.5 hours / 22 hours per week
Working Pattern: Monday to Friday - hours to be confirmed
Start: ASAP

Apple Recruitment Services are currently seeking three Band 3 Admin Support staff to work within a busy healthcare environment in Belfast.

We have three temporary opportunities available, offering different working patterns across a number of sites. These roles would suit experienced administrators who are confident working in a busy environment and have excellent communication, organisational and Microsoft Office skills.

Vacancies Available 1. Beechall WBTC

  • 37.5 hours per week

2. Arches WBTC

  • 32.5 hours per week

3. Across Multiple Sites

  • 22 hours per week

The Role The successful candidates will provide a range of administrative and clerical support within a busy healthcare service.

Duties will include:

  • Providing effective administrative and clerical support to the service.

    Managing booking systems and supporting the day-to-day coordination of outpatient waiting lists and clinics.

    Registering new referrals accurately and appropriately.

    Monitoring waiting lists and ensuring agreed waiting times are maintained.

    Making and managing patient appointments in accordance with agreed procedures.

    Liaising with healthcare professionals, GPs, patients and other relevant stakeholders when arranging appointments.

    Handling telephone calls in a courteous and professional manner.

    Booking interpreters where required.

    Coordinating and collating rotas and statistics.

    Maintaining accurate manual and computerised records.

    Preparing and typing reports and correspondence, including information containing medical or clinical terminology.

    Managing incoming and outgoing mail.

    Carrying out filing, photocopying, faxing and data entry.

    Maintaining adequate supplies of stationery and stock.

    Responding to day-to-day queries and providing appropriate assistance.

    Maintaining strict confidentiality when dealing with patient and staff information.

    Working in accordance with relevant information governance, data protection and confidentiality requirements.

    Providing cover for colleagues during periods of annual or sick leave.

    Supporting the wider administrative team and contributing to effective team working.

    Participating in training and supporting the induction of new staff where required.

    Carrying out other duties appropriate to the needs of the service.

Essential Criteria Applicants must meet the following essential requirements:

  • 4 GCSE's at grade C / 4 or above to include English Language or equivalent qualification and one year's administrative/clerical experience.

OR

  • NVQ Level II in Administration and one year's administrative/clerical experience.

OR

  • A minimum of two year's administrative/clerical experience.

    Knowledge and application of IEAP Guidelines.

    Essential knowledge of Microsoft Office.

    Good communication skills.

    Ability to work as part of a team.

    The flexibility to work in a changing environment.

You should have excellent communication skills, good attention to detail and the ability to manage competing priorities while maintaining a professional and confidential approach.

Previous experience within a healthcare or public sector environment would be advantageous.
