We are looking to recruit an enthusiastic and motivated individual to provide secretarial support within the Home Treatment South Team, based in Worcester.
The Home Treatment Team provides an early referral service for community teams, supporting patients either in crisis or to prevent further deterioration in their mental health. The team works closely with Adult Inpatient Wards to identify patients who can safely continue their treatment at home.
Job responsibilities- Provide day to day administrative and secretarial support to the clinical team to ensure smooth running of the service.
- Manage telephone enquiries, inbox and diary management, audio typing, minute taking, and other general administrative tasks.
- Produce clear, professional, and comprehensive communications for internal and external stakeholders.
- Maintain accurate records, support data protection and confidentiality, and order equipment and stationery as required.
- Handle challenging situations with distressed or anxious callers, with training and support as needed.
- Level 3 qualification in Business or Administration (or equivalent).
- GCSE English (A-C) or equivalent, or recent NHS administrative experience with expected Level 3 qualification on appointment.
- Certificate confirmation at the point of offer.
- Minimum of 2 years administrative or secretarial experience, preferably within the NHS or a healthcare setting.
- Experience providing support to clinical or multidisciplinary teams.
- Experience in a mental health, community, or acute service environment.
- Experience with minute taking, electronic patient record systems, and high volume telephone calls.
- Ability to manage competing priorities and deadlines in a busy office environment.
- Competent general office skills: filing, scanning, photocopying, and accurate document handling.
- Strong communication skills, written and verbal.
- Ability to remain polite, calm, and firm when dealing with difficult or upset individuals.
- Effective prioritisation, time management, and problem solving skills.
- Adaptability and flexibility in response to changing service needs.
- Collaboration within a team while working independently.
- High attention to detail and accuracy in administrative tasks.
- Experience with NHS systems and data protection requirements.
- Professional manner at all times.
- Commitment to continuing professional development and relevant training.
- Tact, discretion, and professionalism when handling confidential information.
- Understanding that the Trust cannot provide sponsorship; time limited visas do not guarantee sponsorship at expiry.
- Willingness to meet travel requirements of the role.
- Working knowledge of Microsoft Office (Word, Excel, Outlook).
- Knowledge of office and administrative procedures, including record keeping and filing systems.
- Understanding of NHS structures, processes, and community inpatient service integration.
- Awareness of mental health services and the role of Home Treatment / community care.
- Knowledge of data protection, information governance, and confidentiality requirements in healthcare.
- Familiarity with electronic patient record systems or other NHS clinical/administrative systems.
- Understanding of customer care principles when dealing with patients, carers, and professionals.
