Role Summary

The Document Management / Registration team manages and maintains client, investor and agent documentation for the Transfer Agency department. As a Partner, you will directly report to the team leader and will support the processing of original documentation, investor mailings, archiving, quality assurance, workflow analysis and regulatory compliance.

Responsibilities
  • Record receipt and scan original documentation received into Transfer Agency, ensuring data protection compliance.
  • Coordinate investor mailings, including preparation and distribution.
  • Arrange archiving or destruction of original documentation in line with GDPR and internal policy.
  • Perform day to day processing, quality checks and assurance on documentation.
  • Provide oversight and escalation for India partners; liaise with local management as needed.
  • Generate client reporting on outstanding documentation requirements.
  • Manage and analyse workflow queue, achieving monthly KPIs.
  • Maintain procedures following the change control process and ensure all procedures are complied with.
  • Collaborate on internal projects and group initiatives; support junior team members and validate their work.
  • Implement segregation of duties controls and comply with the regulatory regime governing NorthernTrust.
  • Exercise due care and diligence, organising responsibilities within regulation, compliance and risk management frameworks.
  • Maintain professional conduct and integrity in all duties.
Qualifications
  • Previous financial services experience is desirable.
  • Knowledge of Transfer Agency, Administration/Registration is an advantage.
  • Understanding of KYC and AML policies.
  • Strong MicrosoftExcel, Word and Outlook skills.
  • Excellent attention to detail and eye for accuracy.
  • Proactive in identifying improvement opportunities and implementing changes.
  • Effective risk management and customer service experience.
  • Time management and organisational skills.
