Job overview We are recruiting for a Senior Administrator Safeguarding Team who shares our vision to be trusted to provide consistently outstanding care and exemplary service to our patients.

A rare and exciting opportunity has arisen to join a dynamic safeguarding team at ENHT.

We are looking for someone who has an exceptional eye to detail, able to manage queries that are often complex or sensitive while being able to prioritise fluctuating daily workloads and respond to urgent requests.

The post holder will be expected to provide a comprehensive, confidential and high-quality administrative service to the safeguarding team and be responsible for the smooth and effective running of the administration and systems of their office.

The post holder would be expected to work without immediate supervision, work flexibly and manage and organise their own workload. They will provide non clinical advice and guidance in relation to safeguarding queries, with all complex queries being escalated to the relevant safeguarding team member.

Main duties of the job The post holder will provide a comprehensive administrative service to the safeguarding team ensuring telephone calls, correspondence and direct contact with clients and other internal/external agencies are dealt with in an appropriate and professional manner, using judgement and discretion where necessary.

Ensure all urgent and/or confidential communications are received and distributed from/to relevant parties in a relevant manner.

Responsible for minute taking and all preparation for relevant safeguarding meetings & Trust Safeguarding Committee.

Responsible for the line management of the administrators in the service.

To be fully responsible for all administration tasks relating to Child Protection Medical process and sharing of reports in a timely manner with partner agencies.

The post holder may be dealing with distressing or emotional circumstances and will therefore use their initiative, diplomacy and tact and take a proactive approach to solving problems and escalating issues as appropriate.

Liaise with MARAC Co ordinator regarding MARAC meetings in Hertfordshire. Gather confidential information regarding specific cases under the MARAC framework and present the information in an appropriate format to the MARAC panel.

To respond to all incoming emails & telephone calls for the children's safeguarding team and ensure these are dealt with in a timely and efficient manner.

To handle confidential documentation and personal matters in an effective and discreet manner.

Person specification Qualifications
  • RSA 3 or equivalent
  • Degree in Admin or equivalent, or equivalent experience
  • Evidence of continuing development - Including training courses
Previous Experience
  • Senior Secretary/PA and administrator within NHS or Health care setting
  • Minute taking experience.
  • Secretarial experience relevant to specialty.
  • Previous safeguarding experience
Skills
  • Excellent communication and presentation skills. Excellent verbal/written and interpersonal skills. Active and supportive team player.
  • Ability to gain confidence and support of the team. Ability to share and disseminate information.
  • Ability to work on own initiative. Awareness of limitations of experience and role. Able to set and meet deadlines .
Knowledge
  • Computer software, including Microsoft Office, Excel and PowerPoint
  • Able to lead and support admin service
  • Understanding of performance review/appraisal.
