School Administrator and HR Lead

Contract: Permanent, Full Time, Term Time
This super primary school in SW London is seeking a highly organised, proactive and committed Administrator and HR Lead to support its ambitious and inclusive community. This role sits at the heart of the school's operations, ensuring the office runs smoothly, leading essential administrative systems and taking responsibility for day-to-day HR processes. The successful candidate will represent the school with warmth, professionalism and a strong alignment with its ethos and values.
As the Administrator and HR Lead, your responsibilities will include:
- Managing the day-to-day running of the school office and ensuring administrative systems are efficient and well maintained.
- Acting as the first point of contact for pupils, families, staff and visitors, presenting a professional and welcoming image at all times.
- Leading on recruitment, onboarding, compliance checks and staff absence processes.
- Maintaining the Single Central Record and ensuring safer recruitment requirements are consistently met.
- Handling personnel queries and supporting HR processes such as performance, attendance and employee relations.
- Coordinating statutory returns, including staff and pupil Census submissions.
- Overseeing accurate record-keeping in line with data protection legislation.
- Supporting wider operational tasks such as procurement, site-related administration and business functions.
You will work closely with the Principal, administrative assistant and wider school team to help maintain efficient, safe and effective systems across the school.
Key Responsibilities
Human Resources
- Lead on the full recruitment cycle, from job adverts and shortlisting to DBS checks and onboarding.
- Respond to personnel queries and manage absence, sickness and leave procedures.
- Support HR processes including performance reviews, conduct matters and employee relations where appropriate.
- Prepare payroll updates and administer staff benefits.
- Review, update and implement HR policies and ensure they meet legal and statutory requirements.
Administration and Organisation
- Oversee the smooth daily operation of the school office and ensure all systems run effectively.
- Maintain manual and digital filing systems and compile reports when required.
- Manage admissions processes including enquiries, waiting lists and new pupil inductions.
- Assist with organising school events, educational visits and parent-facing activities.
- Ensure the office remains a tidy, welcoming and efficient environment.
Compliance and Safeguarding
- Keep the Single Central Record accurate, compliant and up to date.
- Support the Data Protection Officer and ensure GDPR requirements are met across administration.
Operations and Communication
- Assist with procurement, ordering, stock control and operational tasks linked to school services.
- Contribute to newsletters, communications, website updates and social media content.
- Respond to enquiries promptly and professionally.
- Support site-related administrative duties as directed by the Principal.
Person Specification
Essential Skills and Experience
- Experience working in a fast-paced administrative role.
- Solid understanding of HR processes including recruitment, onboarding and staff management.
- Experience managing confidential information with a strong grasp of GDPR.
- Excellent written and verbal communication skills.
- Highly organised with the ability to prioritise multiple tasks.
- Strong IT competency including MIS platforms, spreadsheets and office software.
- Confidence in producing reports and analysing information.
- Professionalism, discretion and the ability to handle sensitive matters with emotional intelligence.
- Commitment to safeguarding and alignment with the school's values.
Desirable Skills and Experience
- Previous experience within a school or educational environment.
- Understanding of safer recruitment and Single Central Record requirements.
- Experience supporting HR policy work or employee relations.
- Familiarity with local authority or trust systems.
- Knowledge of admissions and attendance processes.

Work Pattern: 35 hours per week, 39 weeks per year throughout the school term. Also 5 additional days for In Service Training.
