Job Description
SAU Administrator

This role is a front line administrative and reception position, where positive, caring, and supportive interactions with patients are key. You will provide an efficient and effective service in the Surgical Assessment Unit, managing a regular intake of patients arriving at the department with a variety of medical and surgical issues.

Good communication and inter personal skills are essential, interacting with tact, diplomacy, and resilience as you manage the arrival of patients and relatives within the SAU unit.

Please note: This role does not meet the minimum criteria for visa sponsorship under the current UK immigration rules, which set specific salary and skill thresholds. Applicants will therefore need to already have the right to work in the UK to be considered.

Applicants using a Graduate visa with at least 18 months remaining will be considered.

Main duties of the job
  • Deal with all telephone enquiries from patients, GPs and other departments in an efficient and effective manner.
  • Liaise with patients/clients whose first language is not English and co ordinate interpretation services.
  • Make independent decisions about enquiries and advise the necessary staff.
  • Liaise with other departments within the hospital and externally, including out patient, police and social workers.
  • Work with colleagues to ensure relevant information is disseminated to staff across the site in a timely manner.
  • Take clear and accurate messages and ensure prompt delivery to the appropriate person.
  • Escalate issues which require intervention to the team leader.
  • Prepare effective shift handover reports.
  • Act as the first point of contact for patients, judge situations, multi task and work under pressure.
  • Answer complex and sensitive enquiries both in person and by telephone.
Additional responsibilities
  • Participate in the SAU Administration team rota providing a 7 day service from 07:30-20:00, and offer support across the Acute Floor as directed.
  • Proactively organise support services (transport, portering, social services, domestic, catering, interpreting) under the direction of the nurse in charge.
  • Maintain confidentiality and dignity at all times.
  • Contribute to the management of Health & Safety in the working environment.
  • Handle accurate data entry and processing on Careflow (PAS) and Symphony, and record case note movement on the tracking system.
  • Supervise new staff members.
  • Deal with all queries efficiently and courteously, using judgment and prioritisation skills.
Person specification Essential
  • Strong knowledge of basic computer packages: Word, Excel, Outlook.
  • Ability to deal with patients in medical distress, including associated sounds, sights and smells.
  • Comfortable working in a close, busy office environment with a constant flow of telephone calls.
  • Maintain accurate records and documentation.
  • Good working knowledge of medical terminology.
  • Careflow PAS & Symphony computer training.
Desirable
  • Experience or training in health and social care environment.
  • Previous reception or administrative role in a hospital setting.
