The Opportunity

Our client, a well-established and highly regarded distribution business based in North Belfast, is seeking a Sales Office Administrator to join their busy operations team.

This is an excellent opportunity for an experienced office professional who enjoys a varied role combining customer service, sales order processing, logistics coordination and general administration. The successful candidate will play a key role in ensuring the efficient day-to-day running of the office and delivery operation.

Key Responsibilities

  • Respond to customer enquiries via telephone and email in a professional and timely manner.
  • Process customer orders accurately and efficiently.
  • Prepare despatch documentation and customer invoices.
  • Complete weighbridge administration duties.
  • Liaise with production and operational teams to ensure product availability and fulfil customer requirements.
  • Coordinate and schedule vehicle deliveries for domestic and commercial customers.
  • Arrange third-party haulage for wholesale deliveries throughout Ireland and the UK.
  • Process customer payments, including cash and cheque transactions.
  • Prepare daily banking lodgements and maintain accurate financial records.
  • Update and maintain information on internal systems.
  • Resolve customer queries and provide a high level of customer service.
  • Complete daily, weekly and monthly administrative tasks, reports and checklists.
  • Support the wider team with general office administration duties as required.

Essential Requirements

  • A minimum of 2 years' experience within a busy office administration environment.
  • Previous experience processing sales orders and coordinating deliveries or logistics.
  • Strong IT skills, including Microsoft Outlook, Word and Excel.
  • Excellent organisational skills with strong attention to detail.
  • Ability to prioritise workload and work effectively to deadlines.
  • Proactive and flexible approach to work.
  • Strong communication and interpersonal skills.

Desirable Requirements

  • Experience working within a distribution, logistics, transport, manufacturing or similar industry.
  • Knowledge of accounting or order processing systems such as Sage, Perito or equivalent.
  • Previous experience coordinating transport or delivery schedules.
