  • Book new and follow up appointments, often using clinical IT systems.
  • Manage patient check in and check out procedures.
  • Handle requests for repeat prescriptions.
  • Act as the central point of contact for patients, doctors, and other staff, answering calls, taking accurate messages, and routing calls appropriately.
  • Provide a calming presence for anxious or distressed patients.
  • Maintain, file, and update patient medical records (physical and electronic).
  • Process requests for home visits and hospital referrals.
  • Use computer software for data entry, word processing, and retrieval of patient information such as test results.
  • Handle practice correspondence, including incoming and outgoing mail and faxes.
  • Take payments for private services and issue receipts.
Work Environment
  • Fast paced and challenging: The GP surgery is a busy, high pressure environment requiring multitasking and quick thinking.
  • Stressful interactions: Interact regularly with patients who may be unwell, upset, or angry; calm, professional, and empathetic communication is essential.
  • Confidentiality: Handle highly sensitive patient information with strict adherence to privacy policies.
  • Team collaboration: Work as part of a multidisciplinary team, liaising with doctors, nurses, and other healthcare professionals.
  • Flexible schedule: Shifts may include early starts, late finishes, and extended hours to provide patient access.
Essential Skills and Qualities
  • Excellent telephone and interpersonal communication skills.
  • Strong organisational skills, effective time management, and ability to multitask in a busy environment.
  • Good computer skills, including proficiency with the practice's clinical system (TPP), word processing, and electronic communication tools.
  • Attention to detail and meticulous record keeping.
  • Commitment to maintaining patient confidentiality and professional conduct.
  • Teamwork: Ability to work effectively as part of a multidisciplinary team.
Desirable Qualifications and Experience
  • A good standard of GCSEs, especially in English and Maths.
  • Some experience with computer systems and electronic filing; training may be provided.
  • Familiarity with basic medical terminology and GP practice systems (e.g., Systm 1, Docman).
  • Previous experience in a general practice or NHS environment is a plus.
