Supermac's is seeking an experienced Property Executive to join its dynamic team in their Galway based Head Office.

JOB PURPOSE:

The Property Executive will work closely with the Property Manager in the management of our commercial and residential property portfolio. The chosen candidate is the main point of contact for landlords and tenants, supporting the Property Manager in managing leases, resolving property issues and working cross-functionally across the business. This is a varied and responsible role, combining property management expertise and coordination with executive and administrative support. The successful candidate will be organised, practical, professional and confident in managing multiple tasks and stakeholders.

THE JOB:

  • Support the Property Manager with the day-to-day management of commercial and residential properties.
  • Coordinate tenants, landlords, contractors, agents, solicitors, surveyors and other stakeholders.
  • Manage and follow up on maintenance requests, repairs, contractors, quotations and invoices.
  • Coordinate property inspections, inventories, viewings, move-ins and move-outs.
  • Assist with residential lettings, tenant onboarding and tenancy administration.
  • Support commercial property administration, including leases, renewals, rent reviews, rates and service charges.
  • Monitor rent, arrears, key dates, renewals and compliance requirements.
  • Maintain accurate property files, databases, CRM systems and spreadsheets.
  • Prepare reports, correspondence and documentation for the Property Manager.
  • Coordinate meetings, appointments, surveys, valuations and access arrangements.
  • Assist with property projects, marketing, planning and general property administration.
  • Maintain action lists and ensure outstanding matters are followed through to completion.
  • Provide professional and responsive customer service to tenants, landlords and clients.
  • Handle confidential information and provide general executive support to the Property Manager.

PERSON SPECIFICATION:

  • Holds a PRSA License or relevant property qualification
  • 2-3 years' previous experience in property management, property administration, real estate or a similar environment.
  • Commercial and residential property experience is highly desirable.
  • Strong organisational, administrative and coordination skills.
  • Excellent communication and customer service skills.
  • Strong Microsoft Office skills, particularly Word, Excel and Outlook.
  • Excellent attention to detail and ability to manage multiple priorities.
  • Practical, solutions-focused and able to use initiative.
  • Confident dealing with tenants, landlords, contractors and professional advisers.
  • Self-motivated, dependable and able to work independently and as part of a team.
  • Professional, personable and proactive.
  • A full Irish driver licence holder
  • Available to work on site 5 days a week and visit company property as required throughout Ireland

Taking direction from the Property Manager, the Property Executive works efficiently across Supermac's, the Plaza Group and the So Hotel Group, ensuring commercial and domestic properties are well maintained, and issues are resolved promptly. Provides clear, professional communication to landlords, tenants and colleagues as required, and works effectively across departments.

Keeps the Property Manager updated on progress, risks and priorities.
