Main duties of the job

As a Patient Services Receptionist, you will be the first point of contact for patients and visitors, providing a friendly, professional, and efficient service both in person and over the telephone. You will assist patients in accessing the appropriate healthcare professional or service, manage appointments and enquiries, and support the smooth day-to-day operation of the Practice. The role also includes handing out prescriptions, processing patient requests, providing administrative support to the wider practice team, and helping to ensure every patient receives a positive experience.

Job responsibilities

Reception:

Ensure an effective and efficientreception service is provided to patients and any other visitors to thePractice.

Deal with all general enquiries, explainprocedures and make new and follow-up appointments.

Using your own judgment andcommunication skills ensure that patients with no prior appointment but whoneed urgent consultation are seen in a logical and non-disruptive manner,signposting as appropriate.

Explain Practice arrangements and formalrequirements to new patients and those seeking temporary cover and ensureprocedures are completed.

Receive and make telephone calls asrequired. Divert calls and take messages, ensuring accuracy of detail andprompt appropriate delivery to intended recipient.

Advise patients of relevant charges for non-GeneralMedical Services, accept payment and issue receipts for same.

Action e-consults and other online formsof communication received from patients daily

Assist with reviewing and processinginformation received via the Practice dashboard.

Hand out medication and collectprescription charges from patients, ensuring they are recorded.

Assist with checking prescriptions forsignature/endorsements and sort for return to the Prescription PricingAuthority, as per standard operating procedure.

Open up premises at the start of the daywhen first to arrive, de-activate alarm and make all necessary preparations toreceive patients.

When last to leave at the end of theday, ensure that the building is totally secured, internal lights are off andthe alarm activated.

Undertake any other additional dutiesappropriate to the post as requested by the Partners or the Practice Manager.

Person Specification Qualifications
  • GCSE Grade 4/C or above (or equivalent) in English and Mathematics.
  • Good standard of general education.
Experience
  • Competent IT skills, including use of Microsoft Office applications.
  • Excellent communication and interpersonal skills.
  • Ability to work effectively as part of a team and independently.
  • Previous experience in a receptionist, customer service, or administrative role.
  • Experience of working in a GP practice, NHS, or healthcare environment.
  • Knowledge of SystmOne or other clinical systems.
  • Understanding of patient confidentiality and data protection requirements.
