Job Description
Personal Assistant

We are seeking a highly organised, proactive and professional Personal Assistant to provide comprehensive administrative and secretarial support to Executive Directors

This is a fast-paced and varied role where you will be responsible for managing complex diaries, coordinating meetings, handling confidential correspondence and ensuring the smooth day-to-day operation of the Executive Directors' portfolios. The successful candidate will act as a key point of contact for internal and external stakeholders and play a vital role in supporting senior leadership.

Key Responsibilities Executive Support
  • Manage complex and constantly changing diaries.
  • Coordinate meetings, appointments and travel arrangements.
  • Monitor and manage Executive Directors' email inboxes.
  • Handle incoming and outgoing correspondence.
  • Prioritise enquiries and respond appropriately on behalf of Executive Directors.
  • Prepare reports, presentations and professional documentation.
Meeting & Committee Support
  • Organise and attend Board and Committee meetings.
  • Produce accurate minutes and action logs.
  • Prepare agendas and circulate papers to agreed deadlines.
  • Track actions and ensure timely follow-up.
  • Maintain meeting records and governance documentation.
Stakeholder Management
  • Build effective relationships with colleagues, senior leaders, external partners and regulatory bodies.
  • Act as a professional ambassador for the organisation.
  • Manage sensitive and confidential information with discretion.
  • Deal professionally with complex enquiries and challenging situations.
Administrative & Office Management
  • Maintain electronic and paper filing systems.
  • Ensure accurate record keeping and document management.
  • Support projects and ad hoc work as required.
  • Contribute to the continuous improvement of office processes and systems.
  • Provide cover for colleagues during periods of absence.
What We're Looking For Essential
  • Significant recent experience providing PA support at Director or Senior Manager level.
  • Experience managing multiple priorities and competing deadlines.
  • Experience taking minutes at senior-level meetings and committees.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
  • Ability to work proactively, independently and under pressure
  • Excellent attention to detail and problem-solving abilities.
  • Experience working within healthcare
