Part Time Facilities Assistant

We are looking for a practical, organised and reliable Part Time Facilities Assistant. This is a varied part-time role where no two days are necessarily the same. You'll be responsible for making sure our workplace is safe, tidy, well maintained, well stocked and ready for people, clients and visitors. From arranging a plumber or electrician to checking the fire alarm, keeping the coffee machine running, buying fresh fruit and making sure meeting rooms are ready for clients, you'll play an important role in keeping everything working behind the scenes.
Your responsibilities as the Part Time Facilities Assistant will include:- Carrying out general office and facilities checks and arranging repairs where needed.
- Liaising with plumbers, electricians, cleaners and other contractors.
- Organising servicing and maintenance of the generator, air conditioning and security alarm.
- Carrying out and logging routine fire alarm testing.
- Managing facilities contracts and renewals, including window cleaning, fire extinguishers, pest control and waste disposal.
- Purchasing and assembling office furniture and equipment.
- Keeping common areas clean, tidy and free from clutter.
- Looking after office refreshments, including drinks and fresh fruit.
- Maintaining office supplies and making a monthly wholesaler visit.
- Cleaning and maintaining the coffee machine.
- Regularly checking fridges and removing old or forgotten food.
- Buying bread twice a week.
- Organising Fast Food Friday lunches.
- Preparing meeting rooms for client meetings and ensuring they are clean, tidy and fully functioning.
- Looking after the company van, including arranging servicing and maintenance.
- Visiting the Southampton office when required - normally no more than once a week.
- Keeping appropriate records of maintenance, testing, servicing and contracts.
- Highly organised and reliable.
- Practical and hands-on.
- Confident dealing with contractors and suppliers.
- Good at spotting problems and finding solutions.
- Comfortable working independently and using your initiative.
- Flexible and happy to tackle a wide range of tasks.
- Professional and approachable.
- Detail-focused and proud of maintaining a clean, tidy and welcoming workplace.
- Comfortable using basic IT systems for emails, records and scheduling.
- A full driving licence holder, with the ability to drive the company work van.
This is a part-time position andalthough five mornings per week would be ideal to ensure the office is consistently supported, there isflexibility around the exact hours,
You will also occasionally travel to our Southampton office, normally no more than once a week.
