Job Description

PAYE: £101.31 per day

Job Purpose
  • Support the Local Authority's management and administration of school places in line with Welsh Government legislation and the Local Authority Admissions Policy, procedures, and criteria.
  • Contribute to the management of the Admissions Service for 44 community primary schools, 7 community secondary schools, 1 nursery school, and Early Entitlement settings under the direction of the Senior Admissions Officer.
  • Ensure the effective operation and maintenance of the school admissions and transfers system (Capita ONE Admissions and Transfers module) in coordination with the Admissions Manager.
  • Provide advice on school admissions to headteachers, the general public, other Local Authority departments, and external organisations.
Dimensions

Data: Ensure efficient and secure operation of the Admissions system, accurate data entry onto the ONE system, and effective data validation.

Customers: Support parents of current and prospective pupils, 70 schools, 65 Governing Bodies, and over 1,000 individual governors with legal advice, support, and guidance.

Principal Duties and Responsibilities
  1. Daily use of Capita ONE Admissions and Transfers database, ensuring data accuracy through validation and investigation in line with Data Protection Act (25%).
  2. Assist Line Manager with production and distribution of the Parents Guide to Education Services and LA composite prospectus (5%).
  3. Support Line Manager in managing publicity materials (web pages, posters, marketing packs), reviewing annually (5%).
  4. Represent the LA at secondary school open evenings, promoting the Admissions Service and online application process (5%).
  5. Assist Line Manager with management of online application information, monitoring and implementing changes as needed (5%).
  6. Problem solve and assist parents with online application difficulties via phone or email (15%).
  7. Verify pupil information on applications and investigate suspected fraudulent information, arranging meetings if necessary (20%).
  8. Advise parents appealing a refused school place and provide senior officers with accurate information regarding appeals (10%).
  9. Process mid-year school transfer applications, adhering to the School Admissions Code, and liaise on difficult cases under the Transfer Protocol (10%).

  • Admissions Officers are an integral part of the Lifelong Learning team, contributing to efficient and effective school place allocation.
  • The role carries legal responsibility, requiring the post holder to provide accurate advice to parents, schools, and internal/external stakeholders, while being organised, responsive, and accountable.
Qualifications
  • 3 GCSEs or equivalent - Essential
  • NVQ 2 in Administration or equivalent (or working towards) - Essential
  • NVQ in Information Technology or equivalent - Desirable
  • RSA, CLAIT, or Typing/Word Processing Stage 1 or equivalent - Desirable
Knowledge / Experience

Essential:

  • Experience in a customer-focused environment (parents, headteachers, council officers, members).
  • Ability to advise on school admissions to parents, headteachers, and council members.
  • Knowledge of Wrexham Council policies and procedures.
  • Experience with Capita ONE Admissions and Transfers module.
  • Knowledge of school admissions processes, Welsh Government School Admissions Code, and Appeals Code.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Access.
  • Good organisational skills, team working, and experience dealing with the public in multiple formats.

Desirable:

  • Knowledge of the Common Transfer System (S2S) and web-based secure pupil data systems.
  • Experience working in an office environment.
