Job Description
We are recruiting for two Operations Administrators to join our busy Operations Team in Taghmon, Wexford.
Job Purpose:The Operations Administrator supports the day-to-day activities of the Transport Operations Team by maintaining accurate records, coordinating administrative aspects of scheduling, handling communications, and ensuring smooth operational workflow. This role provides essential support to planners and senior administrators.
Responsibilities:- Support scheduling of collections and deliveries across Ireland / Europe / UK.
- Maintain accurate data entry on MoveIT TMS and other operational supporting systems.
- Assist in organising and coordinating loads/orders within the transportation team.
- Manage and respond to the operations email inbox professionally and promptly.
- Answer inbound phone calls promptly and professionally, providing support to drivers, customers, and partners, and escalating issues where required.
- Communicate with drivers, partners, and customers to relay collection/delivery information.
- Liaise with shipping lines for sailing updates, booking references, and cut off times.
- Upload correspondence, photos and relevant supporting documentation to MoveIT TMS.
- Escalate issues such as delays or customer impacting events to senior team members.
- Support general office tasks including reports, manifests, documentation, and filing.
- Promote a positive work environment by supporting colleagues in completing duties.
- Comply fully with company policies, processes, and Health & Safety requirements.
- Participate in the Nightly On-Call rotation following successful training and a minimum of 3 months in the role (approx. once every two weeks).
- Participate in the Weekend On-Call rotation after a minimum of 6 months in the role (approx. once every two months), including on site Rosslare Port trailer check and system verification.
- On-Call duties include responding to calls and queries using the company laptop and phone and supporting out-of-hours operational requirements.

- Strong organisational and administrative skills.
- Good communication and interpersonal abilities.
- Proficient in Microsoft Office (Excel, Outlook).
- Ability to multitask and maintain accuracy in a fast-paced environment.
- Team player with willingness to learn, who is adaptable, solutions-focused and able to work on your own initiative.
- Strong customer service orientation and able to communicate clearly and effectively with an ability to build professional relationships with both internal and external stakeholders.
- 3rd Level Degree in Business/Supply Chain or related discipline advantageous
