Office Manager /team- & Client Assistant - Family Office

The international single-family office Wille Finance is based in Switzerland with offices in Zurich and Zug. Founded in 2007, we have grown into a team of 30 dynamic professionals with an investment focus in Real Estate, Listed Assets, and Private Equity.

For our Zurich office we are looking for an:
Office Manager /Team- & Client Assistant (100%)
Main responsibilities:
- Support the team, management and key client in different projects
- Provide support to the Personal Assistant of key client, with occasional 24/7 availability
- Property Management: liaise with staff, suppliers and third parties
- Organize office operations and procedures, manage databases
- First point of contact for phone calls, correspondence and queries in general in German and English
- Schedule & attend meetings if needed and be responsible for the minutes
- Make travel arrangements, manage expenses and petty cash
- Organize company events (e.g. Summer & Xmas Party)
- Order, negotiate and maintain office supplies, stationery and IT equipment as needed
- Oversee IT matters in collaboration with our external IT partner
Required Skills & Assets:
- Min 3 years' proven experience as an assistant or in a similar role
- High level of commitment, discretion and confidentiality
- Proactive mindset, with the ability to add value to day-to-day work and projects
- Hands-on mentality with strong prioritization skills
- Initiative and anticipation of needs
- Attention to detail and problem-solving skills
- Team player and great interpersonal skills
- Excellent communication skills in German and English
- Driver's licence (preferably with own car)
