Office Manager

An exciting opportunity has arisen for an Office Manager to join a well-established organisation based in Newcastle, Co Down.

This is a Full-Time, Permanent Position.

Working hours: Monday to Friday 9am-5.30pm.

With a salary of £38,000 to £42,000 per annum.

Job Role:

You will be responsible for the smooth running of the office and providing a professional first point of contact for members, visitors, and external enquiries.

Essential Criteria:

  • Previous Office Administration/Office Management experience or within a similar operational role.
  • Experience of maintaining accurate records, databases and administrative systems.
  • IT proficient with the use of Microsoft Office as well as experience of booking, scheduling or membership management systems.
  • Excellent communication skills both written and verbal - with the ability to communicate with stakeholders at all levels.
  • Ability to work on your own initiative as well as part of a team.
  • Ability to manage and prioritise a busy workload with strong organisational skills

Main Duties and Responsibilities:

  • Lead and manage the office team, ensuring high standards of professionalism, efficiency, and member service.
  • Allocate daily tasks and responsibilities to ensure enquiries, bookings, and administrative duties are handled effectively.
  • Provide guidance, training, and support to office staff to maintain consistent service standards.
  • Monitor team performance and workflows to ensure enquiries, bookings, and member requests are handled promptly and accurately.
  • Support staff development and contribute to recruitment, onboarding, and scheduling within the office team.
  • Foster a positive and collaborative working environment aligned with the service standards.
  • Act as the primary point of contact for telephone, email, and in-person enquiries, responding to member and visitor queries regarding bookings, competitions, events, and policies.
  • Manage member and visitor sheet bookings and scheduling times to ensure accurate and efficient allocation of play.
  • Maintain a professional and welcoming service that reflects the business standards.
  • Act as a key point of contact for members regarding administrative enquiries.
  • Manage member correspondence including membership confirmations, updates, and general communications.
  • Process membership applications and renewals.
  • Maintain accurate membership records and databases.
  • Provide administrative support to senior leadership and department managers.
  • Prepare and distribute reports, presentations, agendas, minutes, and other documentation for management, ensuring accuracy, clarity, and professionalism.
  • Coordinate logistics for communications, newsletters, and announcements.
  • Provide administrative support for events and meetings.
  • Maintain electronic and physical filing systems, organising documents and records for easy retrieval and reference.
  • Support finance functions such as invoicing, purchase orders, and membership billing.
  • Monitor office supplies and manage vendor relationships.
  • Ensure accurate record keeping for bookings, memberships, and documentation.
  • Maintain confidentiality of member information and ensure compliance with data protection regulations.
  • Follow policies and procedures relating to bookings and administration.
