Job Summary

We are excited to advertise for an Office Assistant / Receptionist.

The role will provide support to the EA / Office Manager. In addition, you will cover reception, providing a professional and courteous front of house and administrative service to both staff and external visitors.

You will be a member of the Office Management team but may be required to support other teams as requested.

Key Responsibilities
  • Meet and greet staff and visitors in a professional and courteous manner. In addition, you will answer and transfer calls as appropriate.
  • You will be involved in general office duties, including data entry, scanning, filing and collating documentation.
  • Project work required as directed by Office Manager.
  • Ensure reception, all meeting rooms and general office space is kept clean and tidy throughout the day.
  • You will be responsible for preparing refreshments and arranging lunches for meetings.
  • Order and maintain replacement of food / refreshments for the company and meetings, office stationery and other consumables.
  • Sort morning post-delivery and scan/distribute to files as appropriate. Collate the evening post ensuring it is ready for evening collection.
  • Coordinating and arranging couriers as required.
  • Make and confirm travel and accommodation arrangements.
  • Ensure that day to day health and safety processes in the office are undertaken, with the support of the Office Manager.
  • Be a key holder and responsible for opening the office each morning.
  • Act as company first aider and fire Marshall for the business (full training will be provided).
  • Banking: You will be responsible for travelling to the bank each day to deposit cheques as required.
Tech Stack (Current & Expected Competency)
  • IT literate with a good working knowledge of all Microsoft programmes and setting up Zoom / MS Teams calls.
Skills & Experience
  • Good levels of attention to detail and able to work accurately.
  • Experience working in a busy office environment or on reception preferred.
  • First Aid Qualification (not essential as training will be provided).
  • Fire Marshall Qualification (not essential as training will be provided).
  • You will need daily use of a vehicle to travel to the bank. Your vehicle should be insured for business use, in addition to normal commuting.
