We are appointing a Patient Pathway Administrator within the Neurosurgery Department at the John Radcliffe Hospital. The role involves handling telephone and face to face queries, ensuring the smooth running of the department, monitoring patient pathways and providing full administrative support to consultants and their teams.

Detailed job description and main responsibilities
  1. Act as the designated point of contact for consultants and clinic teams, overseeing workflow consistency across the service.
  2. Collaborate with the admin team, supporting cover during leave, and escalating issues to the Assistant Service Manager.
  3. Handle telephone enquiries from patients, carers, GPs and other service users professionally.
  4. Manage new and follow up appointments, ensuring patients are tracked effectively through the 18 week pathway.
  5. Maintain the 18 week RTT pathway by completing monthly validation and monitoring outpatient and inpatient PTL.
  6. Book clinic appointments via the ERS system and liaise with the Assistant Service Manager regarding capacity.
  7. Process all correspondence, ensuring urgent matters are addressed and paperwork scanned into electronic notes promptly.
  8. Transcribe clinic letters, general correspondence and reports, checking for errors and dispatching within deadlines.
  9. Process patient referrals according to Trust processes, registering details and scanning referral letters.
  10. Coordinate future clinic schedules, managing cover and resolving over/under booking issues.
  11. Obtain diagnostic tests or hospital notes as required for clinics.
  12. Understand and resolve complaints, escalating where necessary and facilitating formal responses by consultants.
  13. Collaborate with the Assistant Service Manager for clinic cancellations or closures, informing patients and arranging new appointments.
  14. Carry out any other duties requested by the Assistant Service Manager.
Qualifications
  • Competence in the use of various computer software packages.
  • EPR trained (training available).
  • Previous experience within an administrative role.
  • Ability to work as part of a team.
  • Familiarity with NHS performance targets.
  • Experience of dealing with stressed or upset individuals in an empathetic manner.
  • Evidence of interacting with a wide range of people.
