Job Description
Medical Staffing Coordinator

The Medical Staffing Coordinator will manage the operational medical staffing arrangements across the Medicine and Acute divisions. This includes ensuring all medical staff complete full induction programmes and required mandatory training, providing support for staffing queries, and escalating issues beyond the job role. The role supports the delivery of high-quality patient care by providing administrative support for the medicine and acute medical teams.

Responsibilities
  • Manage day-to-day medical staffing functions, ensuring effective rota coordination and issue resolution.
  • Act as a key point of contact for medical staff, providing support and guidance on staffing queries.
  • Produce and maintain compliant rotas (including on call), ensuring appropriate staffing levels at all times.
  • Coordinate leave, absences, and staffing cover in collaboration with clinical and operational teams.
  • Arrange and manage locum, bank, and agency bookings in line with Trust policies and budget controls.
  • Monitor and process timesheets, staffing data, and weekly reports, ensuring accuracy and timely submission.
  • Maintain up-to-date records on staffing systems, including absence, leave, and training compliance.
  • Support onboarding, induction, and ongoing training coordination for medical staff.
  • Liaise with HR, Medical Education, and wider teams on workforce matters.
  • Provide administrative support to Operational Managers, ensuring a high standard of confidentiality at all times.
Qualifications
  • Educated to GCSE level or equivalent.
Experience
  • Good working knowledge of Microsoft Office packages including Excel, Word, and Outlook.
  • Experience of medical staffing rotas.
  • Previous NHS experience.
  • Experience producing compliant medical rotas.
