Human Resources Administrator - UPMC Sports Surgery Clinic, Dublin

The Human Resource Administrator will provide comprehensive human resource support with varying responsibilities for the busy HR Department with duties associated with the level of the post. The Human Resource Administrator will provide an efficient day to day administrative service to the HR Department with responsibility for recruitment and providing administration support to the Senior HR team and assisting with the strategic development of the service to meet changing organisational needs. Good organisational skills and flexibility are required.
Primary Duties and Responsibilities- Recruitment - Responsible for recruitment and selection activities including advertising vacant positions, shortlisting candidates, set up interviews, arranging interview venues, requesting references and drawing up contracts of employment.
- Updating job descriptions where necessary for departments in consultation with the Department Managers.
- As part of the HR team, be responsible for staff personnel records; ensure staff are registered with NMBI (An Bord Altranais), CORU, PSI, IMC.
- Maintain accurate and timely information systems including the updating of absenteeism records and reports.
- Liaise with payroll regarding new employees and updates on employee payments.
- Oversee the inputting of personnel details on the TMS system.
- Compliance reporting and updating HR systems.
- To ensure that appropriate and adequate employee records/files are maintained, both manual and electronically based.
- Issuing statements of employment, references and any other ad hoc queries from staff.
- Ensuring probation, work permits, annual reviews are all complete and up to date on HR systems.
- To exercise discretion and maintain confidentiality at all times.
- To undertake any other duties as may be required from time to time commensurate with the nature of the post.
- To act at all times to promote the professional image of the Clinic.
- All employees are subject to the requirements of the Data Protection Act and must maintain strict confidentiality in respect of patient and staff records.
- Degree in Human Resource Management or currently studying towards obtaining this qualification.
- Experience of working in a busy environment.
- Previous hospital experience is desirable.
- Highly proficient in the use of MS Office, Word, Excel, PowerPoint.
- Excellent written and verbal communication skills.
- Ability to work autonomously.
- Excellent interpersonal, time management and organisational skills.
- Ability to use initiative to identify and prioritise tasks ensuring deadlines are met.
