General Description

The HR Officer will play a key role in supporting the day-to-day operations of recruitment and personnel administration within the Department of Paediatrics, reporting directly to the HR Operations Manager. This is a fixed-term position to cover maternity leave and will be available until August 2026, or until the return or replacement of the substantive postholder, whichever occurs first.

The role involves delivering an efficient and streamlined HR service within a team structured into two operational workstreams: Recruitment and HR. The postholder will typically be assigned to one stream while occasionally supporting the other.

Core responsibilities include administering recruitment processes from vacancy creation to appointment closure using the University's HR system (PeopleXD), ensuring timely communication with applicants and interview panels, and supporting broader HR administrative activities. The role also includes occasional assistance with graduate studies and undergraduate admissions administration.

  • Managing end-to-end recruitment processes, including job postings, applicant communications, and documentation
  • Collaborating with hiring managers to prepare and refine job descriptions and advertisements in line with University policies
  • Proofreading recruitment materials for accuracy and consistency
  • Liaising with internal stakeholders regarding staffing needs and funding approvals
  • Coordinating advertising of roles across appropriate channels
  • Organizing interviews, including scheduling, panel coordination, candidate communication, and test administration
  • Processing reimbursement of candidate travel expenses where applicable
  • Providing guidance on recruitment procedures and addressing queries, including complex cases requiring interpretation of policies
  • Supporting and occasionally participating in interview panels
  • Generating recruitment documentation such as shortlisting packs and applicant correspondence using PeopleXD
Eligibility Criteria
  • Relevant administrative or HR experience in a professional, academic, or research environment
  • Demonstrated ability to manage recruitment or HR processes efficiently
  • Experience working with HR systems or databases is desirable
Required Expertise/Skills
  • Strong organizational and administrative skills with attention to detail
  • Excellent written and verbal communication skills
  • Ability to interpret and apply policies and procedures
  • Proficiency in handling multiple tasks and meeting deadlines
  • Strong interpersonal skills and ability to collaborate with stakeholders at various levels
  • Competence in IT systems, particularly HR platforms such as PeopleXD
  • Ability to maintain confidentiality and handle sensitive information appropriately
Salary Details

£27,534 - £28,437 per annum (Standard Grade 3)
