Job overview

We currently have a vacancy in our health records team to staff a scanning bureau for digitalising medical records, pulling, filing, tracking, culling and retrieving physical medical notes for inpatient and outpatient services across Oxford University Hospitals NHS Foundation Trust.

We look for hard working, detail oriented applicants who can work with minimum supervision.

Please note: the role involves physical tasks, Bank Holiday shifts, Monday to Friday 07:30 to 15:30, 37.5 hours per week.

Main duties
  • Scan paper records into the Trust's digital systems.
  • Pull, file and track medical records, ensuring orderly storage and availability for departments requesting them.
  • Cull and merge records no longer required.
  • Co ordinate with off site storage for sending, receiving and destroying paper notes.
  • Staff emergency telephone bay for urgent requests.
  • Prepare clinic notes for selected outpatient appointments.
  • Maintain Information Governance standards.
  • Investigate missing or anomalous records.
Person specification Education/Training
  • Previous clerical experience.
  • Effective communication with staff of all grades and the public.
  • Good telephone manner.
  • Ability to work under pressure.
  • Ability to plan and coordinate within area of responsibility.
  • Team player with initiative.
  • Enthusiasm and motivation.
  • Willingness to undergo further training as appropriate.
