Job Description

An opportunity has arisen for a receptionist/administrator to join our friendly, forward thinking GP Practice in Burton on Trent. We are seeking enthusiastic, dedicated and motivated person to join our reception and administration team for 30 hours per week.

You should have excellent communication skills, strong computer skills and good attention to detail. Previous NHS clerical or administrative experience is preferable but not essential, as full training will be given.

Our operating hours are 8.00am-6.30pm Monday to Friday, and you should have flexibility to work across these hours, with the ability to help cover during annual leave or unexpected absences.

Main duties of the job

TheReceptionist will be responsible for undertaking a wide range of receptionduties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to,greeting and directing patients, the effective use of the appointment system,booking appointments, the processing of information (electronic and hard copy)in a timely manner and in accordance with current policies, assisting patientsas required and supporting the administration team with patient registration,

The post-holder will act as the central point of contact forpatients, be responsible for the distribution of information, messages andenquiries for the clinical team, liaise with multi-disciplinary team membersand external agencies such as secondary care and community serviceproviders.

The Receptionist will support staffwith the distribution of information, messages and enquiries for the clinicalteam, liaising with multidisciplinary team members and external agencies suchas secondary care and community service providers.

The post-holder will be an integralpart of the general practice team.

Job responsibilities

The following are the core responsibilities of a Receptionist in delivering health services. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

  1. Accurately detail information on patients records within the clinical system
  2. Maintain and monitor the practice appointment system
  3. Process personal, telephone and e-requests for appointments
  4. Assist with total triage administration
  5. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
  6. Signpost patients to the correct service
  7. Initiate contact with and respond to, requests from patients, team members and external agencies
  8. Photocopy documentation as required
  9. Data entry of new and temporary registrations and relevant patient information as required
  10. Input data into patients healthcare records as necessary
  11. Direct requests for information, i.e., DSAR, insurance/solicitors letters and DVLA forms to the administrative team
  12. Manage all queries as necessary in an efficient manner
  13. Carry out system searches as requested
  14. Support all clinical staff with general administrative tasks as requested
  15. Undertake a broad spectrum of administrative duties commensurate with the role
  16. Be an integral part of the general practice team
  17. Act as a chaperone as required
  18. Be aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on safeguarding adults and safeguarding children
  19. Support in the delivery of enhanced services and other service requirements
  20. Undertake all mandatory training and induction programmes
  21. Contribute to and embrace the spectrum of clinical governance
  22. Maintain a clean, tidy, effective working area at all times
  23. Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreed
Person Specification Qualifications
  • A good standard of education with an expectation of having both GCSE Maths and English at Grade C (Level 4) or above, or Functional Skills Level 2 in Maths and English
  • NVQ Level 2 in Health and Social Care
Experience
  • Experience of working with the general public
  • Experience of working in a healthcare setting
  • Experience of administrative duties

  • Competent in the use of MS Office and Outlook
