GP Practice Reception/Admin Team Leader

Exciting opportunity to join a large, modern, innovative GP training Practice in Huddersfield (5 minutes from the M62 junction). Looking for an enthusiastic and motivated team player who enjoys working in a successful, high achieving Practice. We employ around 45 people, split roughly 50/50 between clinical/patient facing and administrative. We use TPP SystmOne.
You will be the head of our reception and administrative team, overseeing all aspects of the Practice front office operations, patient entry points and patient experience. We are always keen to develop new ways of working to simplify processes and streamline workflow, ensuring responsibilities are shared out equitably and with full support. Individuals who enjoy transformation and practice development will be welcomed.
Main duties of the jobKey responsibilities will include:
- Managing a large team of reception and administrative staff, with the support of deputies with different specialities.
- Rotas and annual leave planning to ensure optimum cover at all times.
- Training, learning and development of the reception/administrative team.
- Staff wellbeing and retention.
- Achieving great telephone response times.
- Ensuring task and letter workflows are streamlined and managed effectively.
- Participating in larger team meetings to engage and cascade relevant information to your team.
The Grange Medical Practice is the largest practice in Huddersfield with a list of circa 17,500 which continues to expand. Just 5 minutes away from the M62 junction. We have a large team of GPs, Nursing colleagues and allied health professionals who work innovatively in delivering safe and high quality services for our patients.

Job descriptionThe Senior Administrative Team Leader will provide operational leadership across the reception and administration function, ensuring services are efficient, patient focused and delivered to a high standard. The postholder will oversee day to day administrative operations, support workforce development and drive continuous improvement across workflows and processes.
Key responsibilities will include:
- Managing a large team of reception and administrative staff, with the support of deputies with different specialities.
- Rotas and annual leave planning to ensure optimum cover at all times.
- Training, learning and development of the reception/administrative team.
- Staff wellbeing and retention.
- Delivering excellent patient experience.
- Achieving great telephone response times.
- Ensuring task and letter workflows are streamlined and managed effectively.
- Participating in larger team meetings to engage and cascade relevant information to your team.
- Provide visible leadership and day to day operational oversight of administrative services.
- Ensure administrative processes are streamlined, efficient and aligned with practice priorities.
- Monitor team performance, productivity and service standards across reception and administration.
- Support deputies and team leaders to deliver consistent operational management within their specialist areas.
- Identify opportunities for service improvement, digital transformation and smarter ways of working.
- Maintain high standards of communication, professionalism and patient confidentiality.
- Support recruitment, onboarding and performance management processes where required.
- Ensure practice policies, procedures and compliance standards are consistently followed.
- Work collaboratively with the wider leadership team to support organisational objectives and operational resilience.
- Promote a positive, inclusive and supportive working culture across the administrative function.
- GCSE A-C in English and Maths.
- Leadership experience.
- At least 3 years experience leading a team of at least 5 people.
- Experience conducting learning and development sessions.
- Experience introducing change and new ways of working.
- Basic understanding of HR legislation and guidance.
- Experience working in a GP Practice.
