About the Role
This role is essential to the smooth running of Gorse Hill Studios. As the first point of contact for visitors, you will be responsible for maintaining a safe, welcoming and well-organised environment. You will represent the organisation in a professional, personable, and helpful manner, supporting all communications and logistics that underpin the day-to-day functioning of the STEP programme and wider building use.
You will be responsible for managing room bookings, carrying out administrative and finance-related tasks, assisting with building maintenance and health & safety, and working alongside the caretaker to maintain hygiene and order across the site.
The role is part-time, 22 hours a week. Morning and evening work is required, with morning shifts starting at 8:30am and afternoon shifts finishing at 9pm.
Roles and Responsibilities:
- Provide a professional front-of-house service, responding to enquiries in person, by phone and email.
- Complete day-to-day administrative tasks such as filing, scanning, photocopying and email management.
- Manage visitor and staff sign-in procedures, including registration of new young people attending sessions.
- Provide general administrative support using Microsoft Office, databases and office equipment.
- Support building operations, including maintenance reporting, health and safety compliance, fire marshalling and first aid duties.
- Coordinate meetings, events and space hires, including diary management, room bookings, refreshments and minute-taking.
- Communicate effectively with parents, carers, staff and service users.
- Act as a key holder, ensuring the building is opened and closed securely and all safety checks are completed.
- Support the ordering and stock control of office supplies and resources.
- Attend and contribute to GHSCC team meetings, training and development activities.
- Support the STEP Programme by maintaining accurate records, databases, attendance registers and information systems.
- Assist with basic finance administration under the supervision of the Finance Officer and cash handling and processing.
- Ensure all administrative tasks are completed within agreed timescales and service standards.
Experience and Knowledge (desirable):
- Previous experience working in a busy administrative, customer-facing or reception role.
- Understanding of customer service principles and professional conduct.
- Experience using Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience with Microsoft Teams, Zoom and database systems (e.g. Views)
