Global Mobility Coordinator

Fixed Term Contract for up to 18 months

Location: London - 150 Holborn EC1N 2NS with some travel to Woking

Salary: Circa £32,000 + Flexible benefits fund £900

Penspen are looking for an addition to their HR Team, based in the London area.The Global Mobility Coordinator is responsible for supporting all aspects of international employee assignments and relocations. This includes coordinating visa and immigration processes, managing international benefits and allowances, and ensuring a smooth transition for expatriates and their families. The role works closely with internal stakeholders, relocation vendors, and external consultants to deliver a high-quality mobility experience aligned with company policy and compliance requirements.

Key Responsibilities:

Coordinate end-to-end global mobility processes, including pre-assignment, on-assignment, and repatriation phases.

Manage the relocation and assignment lifecycle for expatriates, ensuring timely execution of visas, work permits, housing, schooling, and travel arrangements.

Act as a main point of contact for expatriates, addressing their queries and supporting their onboarding and integration in host countries.

Collaborate with immigration advisors and vendors to ensure compliance with local laws and timely processing of documentation.

Administer assignment letters, cost projections, and benefits in accordance with mobility policies and compensation structures.

Track and maintain accurate records of assignments, visa statuses, and mobility costs.

Support the development and improvement of global mobility programs, policies, and procedures.

Liaise with payroll, finance, and tax consultants to manage expatriate compensation and reporting.

Ensure policy compliance and maintain up-to-date knowledge of international mobility trends and legal requirements.

Provide reporting and analytics on mobility activity, costs, and trends as needed.

Qualifications and Experience:

Bachelor's degree in Human Resources, Business Administration, or related field.

Minimum 3-5 years' experience in global mobility or expatriate management.

Strong understanding of international mobility processes, immigration, and tax considerations.

Experience working with global mobility vendors and relocation service providers.

Excellent organizational and communication skills.

Strong attention to detail and ability to manage multiple assignments across regions.

Proficient in MS Office; experience with mobility platforms or HRIS is a plus.
