We are currently recruiting for a Fleet Admin and Support Assistant to join a well-established and growing operations team and provide essential administrative and operational support for a busy vehicle fleet.
The RoleWorking closely with the Fleet Coordinator, you will help ensure that vehicle records, maintenance schedules, compliance documentation and driver information are accurately maintained. You will play a key role in supporting the smooth day-to-day operation of the fleet while ensuring that legal, regulatory and organisational requirements are met.
Key ResponsibilitiesYour responsibilities will include:
- Maintaining accurate and up-to-date fleet records, including vehicle registrations, insurance, MOTs and servicing schedules.
- Monitoring vehicle compliance requirements, including inspections, servicing, road tax, insurance and other statutory obligations.
- Receiving, logging and administering PCNs, Notices of Intended Prosecution (NIPs), parking fines, congestion charges, toll violations and other vehicle-related offences.
- Coordinating planned and reactive vehicle maintenance, repairs, servicing, inspections and breakdown recovery.
- Supporting drivers and operational teams with fleet-related queries, vehicle allocations and bookings.
- Building positive working relationships with leasing companies, maintenance providers, insurers, fuel card suppliers and other contractors.
- Producing fleet reports and analysing data relating to vehicle utilisation, maintenance, compliance, accidents and associated costs.
- Supporting the administration of vehicle accidents, insurance claims and incident investigations.
To succeed in this role, you will be highly organised, detail-oriented and confident managing a varied workload. We are looking for someone who is comfortable working independently while also collaborating effectively with colleagues and external partners.
Ideally, you will have:
- Experience in an administrative or support role, preferably within a fleet, transport, logistics or vehicle management environment.
- Knowledge of fleet administration and vehicle compliance requirements.
- Experience processing PCNs, NIPs, traffic violations or similar compliance-related matters.
- An understanding of vehicle maintenance, servicing, MOT requirements, road tax and insurance processes.
- Strong IT skills, particularly in Microsoft Excel, Outlook and Word
- Excellent written and verbal communication skills.
- Strong organisational and time-management abilities.
- Strong problem-solving and investigative skills.
- A customer-focused mindset and the ability to build positive working relationships.
- Full UK Driving license
