Description Purpose:
To manage the day-to-day finance function including systems and procedures, providing management and oversight of the UK Finance team at both an operational and managerial level ensuring the team provides high-quality service to staff and key stakeholders. Be the final point of contact for staff and budget holders on finance matters. Be a member of the WFWI-Global finance team and manage the relationship with them.
Engagement:
Finance Business Partner supports all budget holders in the UK, working closely with them to ensure they understand their numbers and are equipped with the information needed to make good, well-informed decisions.
Liaise with external service providers including banks, payroll provider, pensions, auditor and tax advisers/consultants.

Key Responsibilities Financial Management:
- Management of financial accounts, ensuring that the balance sheet is fully reconciled on a monthly basis through preparing reconciliations for more complex accounts and supporting the Finance Officer to complete reconciliations for remaining accounts.
- Be proactive in ensuring the smooth running of the finance function, anticipating and resolving issues in a timely manner and ensuring suppliers are paid correctly and on-time.
- With support from the Finance Officer and Finance Manager (UK & DE), provide Finance Business Partner support to all budget holders, working closely with them to ensure they understand their numbers and are equipped with the information needed to make good, well-informed decisions.
- Prepare timely and accurate management information, analysis and reports for the Managing Director UK, Director of Finance (SCO) and other budget holders.
- Maintain UK donor funding and programme expenditure records.
- Liaise with Global finance colleagues to ensure that UK specific finance information is provided throughout the year as required and for US audit in line with agreed deadlines.
- Manage payroll in liaison with the Head of People, Capability, Culture and Operations, including all monthly and year end submission to HMRC and The Pension Regulators.
- Review of all payments on Intacct, within specific limits set out within WFWI-UK's delegation of authority.
- Ensure intercompany transactions are captured accurately and settled on a monthly basis; carrying out currency trade analysis and confirming trade to send USD to WFWI-Global.
- Manage the banking relationship, including treasury management.
- With support from the Director of Finance (SCO), prepare statutory accounts and accompanying notes. Lead on co-ordination of annual audit from planning stage to close out. Lead on co-ordination of donor specific audits taking place within the UK, liaising with external auditors and supporting grant management team to deliver all requirements of the audit.
- With support from the Finance Manager (UK & DE) and Director of Finance (SCO), lead on coordination of annual budget and forecasting cycle for WfWI-UK, setting and communicating timetables; supporting budget holders with their budget planning; scrutinising budget submissions for reasonableness and accuracy and preparing consolidation.
- Analyse consolidation against agreed KPIs and ratios and prepare papers for the Managing Director and Finance Director (SCO) to review and discuss.
- Send final budget to WFWI-Global in line with the agreed deadlines.
- With support from the Director of Finance (SCO), lead on co-ordination and consolidation of annual budgeting process for WFWI-UK and liaise with WFWI throughout the process to ensure that WFWI-UK meets the global organisation's requirements.
- Strategically engage fully in annual planning for the Finance team, contributing to the development of the wider vision for the department and completion of the annual budget.
- Preparation of Management Accounts for circulation to Finance and Audit Committee.
- Preparation of Budget Analysis and supporting commentary for submission to Finance and Audit Committee annually.
- Preparation Forecast Analysis, supporting commentary for submission to Finance and Audit Committee annually.
- Attend the Finance and Audit Committee (FAC) meetings with the Director of Finance (SCO), preparing minutes within agreed deadlines for UK FAC meetings.
- With support from the Director of Finance (SCO), ensure that WFWI-UK's financial policies and procedures, and internal controls are observed and reviewed regularly recommending and implementing a more efficient and effective solution when necessary.
- With support from the Director of Finance (SCO), develop systems and procedures to ensure the efficient and effective management of the organisation's finances.
- Ensure that all staff have been given appropriate access and training to use the finance system effectively and are fully informed of all finance policies during their induction.
- Monitor all incoming receipts; including donations, grants, events and other revenue streams, making sure all income is properly coded and input into the accounting system.
- Liaise with the relevant departments to ensure the agreed gift processing procedures are followed for cheques, credit cards, bank transfers, online transactions or direct debits.
- Work with US to ensure intercompany accounts are reconciled accurately and in timely manner.
Financial Grant/Restricted Location Management
- Provide support to the grants team in financial governance of restricted grants and preparation of financial information for funding proposals and donor reports.
- Work with the Financial Planning and Analysis team to lead and coordinating specific proposal budget development.
- Prepare timely donor reports and coordinate with relevant CO Finance Managers and Program Officers to provide variance reports. Approximately two-three grants are to be assigned at any given time.
- Lead in preparing and disseminating timely monthly spending plans for grants.
- Coordinate with GSC finance to record and reconcile intercompany transactions between Germany, UK and US.
- Member of the global audit team to assist in coordinating timely submission of audit schedules and samples as will be assigned.
- Ensure that you are up to date and well informed on sector developments and competitor activity to inform our strategies are cutting edge and innovative.
- Undertake any other duties appropriate to the post as may be required.
- Part-qualified ACA, ACCA or CIMA; or studying towards qualification or relevant experience.
- Sound knowledge of UK Charity SORP and charity sector financial practices.
- A critical eye for reviewing accounting transactions and ensuring accuracy.
- Proficiency in Microsoft Excel (including pivot tables, SUMIF, and VLOOKUP) and good working knowledge of Microsoft Word.
- Strong communication skills with the ability to engage effectively with staff, funders, trustees, and suppliers.
- A self-starter mentality with the ability to work independently as well as within a team.
- Excellent organisation, efficiency, and attention to detail.
- Confidence in mentoring and sharing knowledge to support others' professional development.
- Strong problem-solving abilities and a solution-focused approach.
- Ability to meet deadlines and deal with an unpredictable workload.
- Fully qualified ACA, ACCA or CIMA; or studying towards qualification with significant relevant experience.
- Knowledge of UK Restricted funding landscape.
- Knowledge of the international NGO sector.
- Experience working for a global organisation with global responsibilities.
