Job Description

We are looking for an immediately available, experienced Facilities Manager to join us on a c. 3-month, full-time fixed-term basis during a period of exciting rapid change and development.

With re-modelling of our London premises underway and further exciting developments occurring across the Digital Catapult estate, this will be a busy Facilities Manager role and will require someone who can comfortably multi-task, remain calm under pressure, and be able to think logically and proactively. It will encompass health and safety and maintenance, providing a safe and smooth-running workplace, dealing with staff and visitor enquiries, and managing our guest services and meeting rooms. You will have a proven track record of providing support and building strong working partnerships in an office, co-working or event space environment.

WHAT YOU'LL DO (Duties)

  • Lead the Helpdesk and Front of house functions, monitoring performance and acting as a point of contact for escalations.
  • Be the point of contact for all planned & reactive maintenance tasks.
  • Assist in the completion of the set up and continual testing of an internal helpdesk.
  • Lead training of the Helpdesk and Front of House staff to ensure we deliver a quality service.
  • Manage orders for food and beverages for staff and events.
  • Act as the liaison between Facilities and Events teams.
  • Carry out site audits for H&S, compliance and functionality.
  • Collate, record and share office statistics in line with current practices.
  • Manage stock levels for stationery and printing ancillaries.
  • Act as cover, during breaks and absence for our Front of House.
  • Experience and ability to demonstrate management of planned and routine maintenance including reporting on all planned and reactive maintenance for the office.
  • Experience of managing contractors and supply chain.
  • Strong team player and collaborator, and a positive influence across the Digital Catapult organisation.
  • Strong leadership and experience in managing reception / front of house.
  • Experience in managing a full range of facilities-related services.
  • Excellent verbal and written communication skills and strong interpersonal skills.
  • Good analytical and reporting skills, including demonstratable experience in using tools such as Excel and Power BI.
  • Ability to multi-task, deal with last minute changes and be proactive about taking on additional responsibilities whilst maintaining confidentiality, tact and discretion.
  • Incident management and problem-solving skills.
  • The agility and mindset to flourish in, and embrace, a fast-pace and constantly changing environment.
