Job Description
  • Assist with the procurement of appropriate maintenance and service contracts for clients' property portfolios.
  • Ensure Health & Safety compliance for our clients.
  • Client, landlord, and tenant liaison.
  • Set, manage, and achieve budget targets.
  • Participate in business development where appropriate.
  • Consider the economic life of the plant and building fabric on managed sites and, where appropriate, procure and review programmes and costs for necessary future replacement.
  • Ensure appropriate contracts are in place for reactive maintenance, where required.
  • Maintain a record of all contracts in force on each site under management.
  • Monitor contractor performance to ensure contracted works/services meet standards and are performed regularly. Ensure all documentation (certificates, log books, inspection reports, etc.) is provided. Enlist consultants as appropriate.
  • Use and update CAFM systems (currently elogbooks).
  • Ensure regular Health & Safety, Fire, Risk, and Water Assessments are undertaken.
  • Report all accidents or near misses (RIDDOR).
  • Maintain or monitor a Health and Safety Database for each site.
  • Ensure Planned Preventative Maintenance tasks are completed on time, with any variations approved by Senior Management.
  • Procure works directly or via internal/external consultants.
  • Approve completion of reactive maintenance works on sites.

Qualifications
  • Prepare the budget for projected expenditure for the upcoming service charge year, to be agreed upon at least 3 months prior.
  • Monitor expenditure against the budget regularly, at least quarterly.
  • Code and authorize all invoices for services on managed sites.
  • Regularly liaise with tenants regarding FM services, and arrange or chair tenant meetings as needed.
  • Prepare and distribute 'Tenant Information Packs' for new tenants.
  • Conduct site inspections as required, and complete inspection reports afterward.
