Export & Order Processing Coordinator
Location: Guildford
Salary: £30-35k
Hours: Monday -Friday

Are you a detail-driven professional with a passion for logistics and customer service? We are looking for an experienced Export & Order Processing Coordinator to join a fast growing organisation in Guildford!
This is a pivotal role where you will manage the full order cycle - from receipt to delivery - while working closely with international suppliers and B2B clients across the UK and Europe.
Overview ResponsibilitiesOrder Management
- Receive, validate, and enter customer orders into ERP systems.
- Confirm product availability, pricing, shipping terms, and lead times.
- Maintain accurate documentation and records throughout the order cycle.
- Ensure all order details (quantities, delivery dates, formats, currencies, pricing) are correct and communicated clearly.
- Prepare customer-specific paperwork in line with individual SOPs.
- Liaise with Chambers of Commerce and suppliers for export documentation when required.
Inventory & Stock Coordination
- Monitor stock levels and coordinate with warehouse and procurement teams.
- Alert teams to low-stock items, backorders, or delays.
- Maintain high data accuracy within company systems.
Customer Communication
- Act as a point of contact for B2B customers regarding order status and shipping updates.
- Review customer intake plans and contribute to stock forecasting.
- Provide timely updates and respond to inquiries or complaints professionally.
- Communicate with mid and senior-level client contacts, maintaining strong relationships.
Reporting & Continuous Improvement
- Generate reports on open orders, delivery performance, and KPIs.
- Support initiatives to improve order accuracy and customer satisfaction.
- Identify inefficiencies and recommend process improvements.
- Share customer feedback with internal teams to drive service enhancements.
- Ideally 5+ years' experience in order processing, logistics, or supply chain coordination.
- Experience working with international suppliers, ideally in China.
- Familiarity with UK and European B2B clients and basic customs requirements.
- Proficiency in ERP/order management systems.
- Strong Excel or Google Sheets skills.
- Excellent communication and multitasking abilities.
- High attention to detail.
- Knowledge of export logistics, customs processes, and Incoterms (FOB, EXW, DDP).(Desired)
- Experience working with distributors, retailers, or wholesale customers. (Desired)
