About the roleThe Executive Assistant's primary role is to be the right hand person to the Chief People & Transformation Officer (CPTO). The individual must be able to understand the importance of prioritising meetings, manage a large and multi faceted workload and administer effective meeting cadence across the senior leadership teams and external stakeholders.
The Executive Assistant will be required to support the CPTO with minute taking at the relevant internal meetings. The role requires a firm understanding of the dynamics of the business and its individual departments, its priorities, people and strategies. The ideal candidate will possess strong intuition, exceptional communication and organisational abilities, and outstanding interpersonal skills. They should demonstrate a high level of emotional intelligence, a proactive mindset, and the ability to excel in a fast paced environment with minimal guidance and support. Given the cross country relationship management involved, fluency in Spanish is essential, and proficiency in additional languages would be a valuable asset.
As EA to the CPTO you will Administrative Support- Manage and prioritise the executive team's schedules, including meetings, appointments and actions dealing with any last minute changes and requests
- Draft, proofread, and edit documents for accuracy and clarity
- Inbox management - respond to emails and other communications on behalf of the executives
- Oversee team budgets, raise purchase orders and ensure any issues are dealt with in a timely manner
- Organise, coordinate, and schedule internal and external meetings, events, workshops and team activities
- Prepare and manage executive agendas, meeting materials, and take minutes and follow up on actions when required
- Collaborate with other departments and stakeholders to ensure timely and accurate follow up on action items
- Coordinate domestic and international travel arrangements, including flights, visa's, ESTA's, accommodation, and transportation, as well as expense management
- Prepare detailed itineraries, ensuring executives are well prepared for travel
- Assist with key strategic projects, ensuring deadlines are met and tasks are executed efficientlySupport the Executive in managing priorities and tracking progress on various initiatives Stakeholder Management
- Serve as the first point of contact between the C suite executives and internal / external stakeholders
- Build relationships internally and externally with key stakeholders, ensuring timely communication and resolution of any issues
- Handle sensitive and confidential information with the utmost discretion and professionalism
- Manage sensitive projects and tasks requiring confidentiality and a high level of trust
- Provide support on special projects, as assigned by the C suite
- Undertake ad hoc duties and tasks as and when required to support the business and leadership team
- Provide general office support including scanning, printing, photocopying documents, managing supplies, handling invoices, and maintaining confidential files and records
- Ensuring there is an effective working relationship between the Executive Assistant, the Chief People & Transformation Officer, the Transformation Leadership Team and the People Leadership Team managing the dynamic between the CPTO's many Direct Reports
- Liaise with the Executive Team and the Executive Assistants network in order to achieve objectives within the role
- Excellent people skills and the proven acumen to handle both delicate and complex situations whilst juggling multiple responsibilities
- Excellent written and oral communication skills (Spanish speaking essential)
- Demonstrated ability to work in a fast paced environment and proven ability to manage senior stakeholders
- Demonstrated experience of dealing with highly confidential information
- Ability to balance long term projects with the urgency of immediate demands
- Excellent workload prioritisation (this is essential given the everchanging direction of travel)
- Strong presentation skills and the ability to convey complex messages succinctly and convincingly
- Experience of giving, receiving and acting upon constructive feedback
- Able to act with integrity
- A high degree of emotional intelligence is essential
- Ability and comfortable working alone with little guidance, particularly under pressure
