Events Manager

The Events Manager is responsible for the proactive development and reactive co-ordination of meetings, conferences, weddings, private events and group business within The Malone Hotel.
A key focus of the role will be to proactively grow meetings, events, conference and wedding business, generating new enquiries, converting showrounds and developing strong relationships with prospective and existing clients.
Reporting to the General Manager and Deputy General Manager, the role combines proactive sales activity with event planning and operational co-ordination, ensuring all events are professionally managed from initial enquiry through to final billing and post-event follow-up.
The successful candidate will be highly organised, commercially aware and confident in developing new business while delivering excellent customer service.
About The RoleKey Responsibilities:
Client Enquiries & Relationship Management
- Respond promptly to all event and wedding enquiries.
- Prepare tailored proposals based on client requirements.
- Conduct showrounds, venue viewings and site inspections.
- Build strong relationships with wedding couples, corporate clients and event organisers.
- Maintain regular communication throughout the planning process.
- Encourage repeat business, referrals and recommendations.
- Conduct post-event follow-up and identify opportunities for future business.
Wedding Business Development
- Proactively grow wedding enquiries, showrounds and confirmed bookings.
- Follow up wedding leads promptly and consistently.
- Convert showrounds and enquiries into confirmed business.
- Maintain an active wedding pipeline and monitor conversion.
- Re-engage couples who have viewed the hotel but haven't booked yet.
- Develop relationships with wedding planners, photographers, florists, bridal boutiques, celebrants and other relevant suppliers.
- Support wedding fairs, showcases, open evenings and viewing days.
- Monitor competitor wedding packages, pricing and promotional activity.
- Work with the commercial team on wedding promotions and sales initiatives.
- Identify upselling opportunities across accommodation, food and beverage and additional services.
Proactive Sales
- Identify and research new meetings, events, corporate and group prospects.
- Conduct regular outbound sales and follow-up activity.
- Re-engage lapsed clients.
- Support the wider sales team in generating and converting new leads.
- Review gaps in the event diary and identify opportunities to generate additional business.
- Develop relationships with local businesses, professional organisations and event organisers across Belfast.
Event Planning & Co-ordination
- Plan and co-ordinate weddings, conferences, meetings, corporate events and private functions.
- Prepare accurate function sheets, run sheets and event schedules.
- Communicate event requirements clearly to all operational departments.
- Ensure relevant departments are fully briefed in advance.
- Liaise with clients and suppliers throughout the planning process.
- Review event payments, accommodation allocations and supplier requirements.
- Ensure events comply with relevant health & safety, fire and licensing requirements.
- Act as a key point of contact for clients during the event journey.
Commercial Performance & Reporting
- Monitor wedding and event pipeline activity.
- Track enquiries, showrounds, conversion rates and confirmed revenue.
- Produce weekly pipeline, forecast and booking pace updates.
- Review lost business and identify reasons for non-conversion.
- Identify opportunities to increase wedding, meeting and event revenue.
- Contribute ideas for promotions and marketing activity.
- Participate in sales, revenue and commercial performance meetings.
- Provide concise weekly sales and activity updates.

- A minimum of 1-2 years' experience in a similar hotel, events or wedding role is essential.

- A proactive and commercially focused approach.
- Strong computer literacy, ideally with experience using hotel PMS, CRM or event management systems.
- Confident conducting client appointments, showrounds and sales follow-up.
- Ability to work effectively in a fast-paced, customer-facing environment.
- Motivated, professional and determined to succeed in a sales-focused role.
Desired Criteria
- A degree in Hospitality Management, Business Administration, or a related field is preferred
- Knowledge of food & beverage service, AV equipment, and event styling is a plus.
