Job Description

Bromley Experts by Experience run different services and events for Disabled people across Bromley, empowering Disabled people to share ideas, feedback on local issues and services and get to know each other. Each event has staff present, organising the agenda, setting up the room and supporting the tech to include online attendees.

We want to share notes of what was discussed at each event with our members afterwards. This is especially important for people who couldn't come along.

The Event Notetaker volunteers alongside a staff member to make brief notes of the discussion at the meeting, while the staff member leads the session.

What is involved
  • Support the CEO and Systems & Engagement Manager to capture notes of what was discussed at the event.
    • Arrive at least 15 minutes before start time to support welcoming members and prepare.
    • Welcome attendees and make people feel comfortable.
    • Make notes in anyway which is accessible to you. They do not have to be full 'verbatim' minutes which include every word. It will be helpful if they include key discussion points, actions and decisions.
  • Send your notes in a document via email to the Bromley Experts by Experience staff member who led the session, ideally within 48 hours.
  • Let the staff member know if it will take you longer, this is absolutely fine so it's just helpful for us to know.
When / Where / How often?
  • This role is fairly flexible; events are monthly, but you don't have to do them all. Let the Volunteering Coordinator know which you can attend.
  • This role will be at most 3 hours a month if you go to every event. It'll likely be less.
  • Every other month, you'll have a check-in chat with the Volunteer Coordinator.
What you will get out of it
  • You'll receive a Volunteer Welcome and ongoing support from X by X.
  • Experience of being part of a team.
  • Experience of note taking at accessible events and meetings.
  • This role would be a good stepping stone if you were considering one day being a trustee secretary.
  • Develop your written communication and listening skills.
  • Out of pocket travel expenses and free refreshments during events.
  • Know that you are supporting Disabled people to access important information.
What we ask of you
  • To read and follow the guidance for the role that the Volunteer Coordinator will share with you before you start.
  • To be available for the events you say you can attend, where possible, and to tell us if you're no longer able.
  • To answer emails and messages from the Volunteering Coordinator, the CEO and other staff within a week of them being sent.
  • To listen to any feedback and to ask questions or for help to put it into practice.
  • To reflect Bromley Experts by Experience's mission and values during your volunteering.
Key skills and qualities
  • A belief that Disabled People can and should be actively welcomed and included in our communities. An understanding that it is barriers in society that make that harder. This is called the Social Model of Disability .
  • Details focused and an accurate typist or note taker.
  • Strong 'listening' skills (this can also be via a BSL or another interpreter)
