Are you a skilled administrator with office management experience and attention to detail looking for a fast-paced and versatile role within an international charity?
Charity People are delighted to be partnering with an international medical charity, to recruit an EA to CEO.
The charity provides treatment for children suffering from life threatening heart disease in developing countries and is also developing cardiac services overseas through training, building infrastructure and providing vital medical equipment.
The EA to CEO will provide support to the Chief Executive to facilitate with the smooth running of the office and the organisation. You will play a central role in the office as a key member of staff managing office systems and ensuring the quality of all central support tasks.
Key responsibilities:
- Office & Operations Management: Oversee smooth running of both physical and virtual office environments, manage suppliers and logistics, act as front-of-house, and ensure effective office systems and supplies.
- Executive Support: Provide high-level assistance to the CEO, including diary and travel management, meeting coordination, minute-taking, and liaison with donors, trustees, and key stakeholders.
- HR: Maintain staff records, support recruitment and onboarding, manage HR policies and handbooks, and ensure adherence to safeguarding, health, and safety protocols.
- General Administrative Support: Assist with financial processes including charge card administration and audits, support fundraising and overseas operations, and provide flexible support across charity functions as needed.
To be successful in this role, you will have:
- Recent relevant Office Management/PA experience
- Experience of liaising with high level stakeholders and international dignitaries
- High proficiency in IT skills in Microsoft Word, Excel and Outlook for both emails and diary management
- Experience of working as part of a team and with a flexible approach
- Excellent inter-personal and communication skills, including a professional telephone manner
- Experience of delivering work with high level of attention to detail and accuracy
- Strong organisational skills and to be able to multitask under pressure
- Previous HR experience and/or knowledge or HR processes (desirable)
The charity are looking for someone to lead the Office Management side of the role and the day-to-day operations as a priority. The EA side of the role is important, but this is not the primary focus of the role.
This is a full-time post. The core office hours for this role are Monday to Friday 9 am to 5.30pm, however a degree of flexibility is expected, as there may be times when work takes you out of these hours. The main workplace will be the South Parade office, though this role involves some transfer between the South Parade office (Chelsea) and the Weymouth Street office (Marylebone).
