Delivery Support Officer (UCL Employee Applicants Only)

UCL is a world leading teaching and research university, often ranked in the top ten in the world with an annual turnover of well over £1 billion. Part of UCL's vision is to take on the hardest global challenges. The Information Services Division (ISD) is the primary provider of IT services to UCL.

We support and enhance learning, teaching, research and administrative processes by providing information and technology related services to over 50,000 staff and students of UCL and associated institutions. Our ambition is to be the leading IT services group in the HE sector and we are growing our team's capability in experience/UX, agile development, security, cloud, service management and partnering.

We are modernising our technology foundations, digitising the processes of the university to transform experience for students and staff, and partnering across the university to drive differentiation in UCL education and research.

About the role

The Delivery Support Officer (DSO) sits within the Digital Campus Portfolio, Information Services Division (ISD). The role is part of the Estates IT Product Team, who work with UCL Estates to deliver Capital, Small and Minor Works projects.

These projects are vital to UCL's Strategic Priorities under Service Improvement, by upgrading the digital infrastructure to ensure our physical spaces are equipped with state of the art facilities and technology.

The DSO assists and supports the Estates IT Project Managers and the Agile Delivery Manager (ADM) and is a crucial part of the successful delivery of IT and AV installations on the UCL Estates projects.

The DSO will:

  • Support the ADM and Project Managers with the delivery of small, medium and large complex projects.
  • Book Agile delivery meetings including daily stand ups, backlog planning meetings, and sprint retrospectives.
  • Occasionally deputise for the ADM, carrying out aspects of the role relating to Agile ceremonies such as daily stand ups.
  • Contribute to the management of the product backlog and assist the ADM and Project Managers with estimation of work items etc. in advance of, and during, TI Planning.
  • Maintain product folders and documentation relating to UCL Estates projects.
  • Ensure timely and accurate procurement of IT and AV related goods and services required for UCL Estates projects.
  • Monitor and report monthly delivery expenditure against budget on UCL Estates projects.
  • Assist the Project Managers with all aspects relating to project governance, including start up and closure reports.
  • Participate in recruitment and induction of ISD staff or contractors where required.
  • Contribute to the continuous Delivery Support service improvement.
  • From time to time the role also supports the other Product teams within the Digital Campus Portfolio on an ad hoc basis.
About you

The candidate should have demonstratable experience of having worked in a Delivery Support Officer role, supporting delivery of projects within a framework.

The successful candidate will have good communication skills, and demonstrate experience of managing expectations whilst balancing multiple priorities and prioritising their workload appropriately.

Good stakeholder management skills are essential with the ability to proactively work across multiple teams across the organisation, ensuring that project requirements are transposed into Agile stories to support the delivery of the work during Termly Increments (TI).

The ability to manage financial data, produce reports and monitor project expenditure against budget is essential, and a good working knowledge of UCL's financial system and procurement processes is desirable. As well as using the Agile Framework day to day, the Product team works closely with UCL Estates who use the RIBA methodology for their projects. Knowledge of the RIBA framework is also desirable.

Overall we are looking for a person who has a 'can do' attitude, is motivated, and is excited to work in an environment where flexibility is key in order to help successfully deliver Estates projects at UCL.
