WHO WE ARE LOOKING FOR:

We are seeking a highly organized, methodical, and self-motivated professional who thrives in a fast-paced, high-pressure environment. The ideal candidate will be calm under pressure, able to work on their own initiative, and comfortable providing leadership to direct reports. With excellent time management skills and the ability to communicate effectively at all levels, you will have solid knowledge of AV and speaker liaison, alongside the ability to manage and foster strong relationships with key stakeholders.

THE ROLE:
As Conference & Logistics Manager, you will act as the central point between Show Directors, Marketing Managers, Operations teams, suppliers, and speakers to ensure each conference runs smoothly. You will provide a professional and supportive service to speakers, ensuring their experience is hassle-free both pre-show and onsite, while also ensuring event teams and suppliers receive accurate and timely information.

Your responsibilities will include:

Training, developing, and managing at least one direct report

Managing AV requirements, suppliers, budgets, and stage set design

Liaising with venues, event teams, and marketing to deliver all logistical and speaker-related needs

Overseeing speaker agreements, fees, accommodation, biographies, and presentations

Proofing and providing conference programme content for promotional and printed materials

Coordinating staff schedules, theatre managers, and onsite teams

Overseeing AV, speaker lounge, and conference theatres during events

Delivering post-event reports and analysis

This role involves attending onsite exhibitions at venues across the UK and abroad for a minimum of three days at a time.

ABOUT YOU:

You are a confident, proactive, and detail-driven professional with experience in conference and event logistics. You combine creativity with strong organisational skills and have the ability to manage multiple priorities under pressure. You have leadership experience, are customer-focused, and can build and maintain strong stakeholder relationships.

Key requirements include:

Strong knowledge of AV and speaker liaison

Effective leadership and motivational skills

Excellent communication and interpersonal ability (written and verbal)

Strong organisational, time management, and prioritisation skills

Ability to multi-task and remain calm under pressure

Budget management and strong numeracy skills

IT proficiency, including advanced Excel, Word, Outlook, and PowerPoint

Understanding of technical floorplans

Flexible, adaptable, and willing to travel for events

Minimum of 1 year in a management or training role
