Compliance Account Executive

We are seeking a highly organised and detail-driven Compliance Account Executive to join Indigo Medical Compliance. This role plays a vital part in supporting compliance led activities across the business, ensuring that meetings, materials, payments and documentation are managed accurately, efficiently and in line with internal and external requirements.
The successful candidate will be reliable, methodical and proactive, with the ability to manage multiple workflows simultaneously while maintaining exceptional standards of accuracy. This is a hands on role requiring close coordination across teams, external contributors and internal stakeholders, and offers strong exposure to regulated environments, approval systems and audit ready processes.
Key Responsibilities Include Compliance Meeting Support- Managing dedicated compliance and meeting inboxes, ensuring timely monitoring and response.
- Maintaining detailed meeting trackers, including peer to peer engagements and third party sponsorship activities.
- Filing, organising and maintaining all supporting documentation and related communications to ensure robust audit trails.
- Reviewing meeting materials and providing feedback on required amendments where necessary.
- Uploading meeting content into relevant compliance and approval platforms for signatory review and approval.
- Issuing contracts to contributors, consultants and healthcare organisations, ensuring all signatures are obtained and recorded.
- Initiating vendor creation processes for healthcare professionals in line with internal requirements.
- Liaising closely with sales representatives and internal stakeholders to ensure queries are addressed promptly and accurately.
- Coordinating pre and post meeting payments for contributors, consultants and third party services.
- Maintaining accurate, complete and compliant documentation to support internal and external audits.
- Producing weekly and monthly compliance metrics across multiple business units.
- Compiling and distributing hour tracking reports to department leads.
- Generating ad hoc reports and collating data upon request.
- Ensuring all reporting is accurate, timely and aligned with internal standards and expectations.
- Managing Veeva inboxes and ID trackers across multiple accounts.
- Creating Veeva IDs, uploading content for approval, and updating stakeholders on status and reviewer feedback.
- Maintaining essential forms and procedural documentation within Veeva systems.
- Supporting users with Veeva related queries and escalating technical issues where required.
- Completing tagging, anchoring, referencing and document submission tasks in line with system requirements.
- Managing job bag inboxes and maintaining Veeva trackers for MedComms activities.
- Creating and submitting global and regional IDs and materials.
- Maintaining and updating essential operating documents.
- Communicating status updates, feedback and next steps clearly to MedComms teams.
- Managing folder structures, ID systems and content governance to ensure consistency and compliance.
- Answering office phone calls and managing the voicemail inbox.
- Monitoring and managing the shared office mailbox.
- Supporting general office queries, including stationery, facilities and equipment.
- Acting as Health & Safety Officer and Fire Warden.
- Providing support for the set up and clear down of monthly team lunches.

- Competent in Microsoft Office, with strong Excel skills preferred.
- Experienced in working with approval platforms such as Veeva (desirable but not essential, provided there is a willingness to learn).
- Reliable, professional and consistent in delivering high quality outputs.
- Comfortable operating in a fast paced environment with shifting priorities.
- A collaborative team player who builds strong internal relationships.
- Customer focused when supporting both internal teams and external partners.

WORKING CONDITIONSThis is a hybrid role, you will be expected to attend either the office in Milton Keynes or London 3 days a week.
