The successful applicant will be an experienced administrator who is IT literate, especially with Microsoft office applications, and have experience of working in a busy office environment. We are looking for a strong team player who has excellent communication skills and experience of customer service, as you will be the initial reception point for patients and visitors. Deal with appointments and queries from patients/volunteers and colleagues within the Trust, the University and other organisations General clerical duties, including maintenance of filing systems, updating databases and spreadsheets, diary management, photocopying, handling correspondence, taking and disseminating meeting minutes. Maintenance of consumable stock levels for the research group, ensuring compliance with relevant organisation finance procedures. Facilitating the requests for and collection of medication for clinical trial visits from Pharmacy. Organising doctor cover for clinical trial patient visits. Requesting and tracking hospital notes as required and in accordance with HEY NHS Trust policies. Maintenance of petty cash and payments to volunteers using a standardised process. Engage with the wider research administration group and attend regular team meetings. Overall Purpose of the RoleThe role holder will: Work as part of a team to provide administrative support to staff, students and more senior colleagues. They will have sufficient knowledge of the work gained through experience and on-the-job training. Work under direct supervision within existing established routines and procedures and may prioritise tasks within a given set of duties. There is no requirement for planning beyond this prioritisation. Main Work Activities Communication Answer general enquiries Assist in the preparation and collation of written documents for circulation Type documentation Teamwork Under the guidance of a team leader, where necessary provide day-to-day support to other members of staff and members of staff new to the work area Service Delivery Provide administrative support to colleagues including academic and administrative staff Provide administrative support to specific projects as required General office duties which may include + Using photocopier and fax equipment + Receiving, acknowledging, distributing and posting mail + Updating notice boards + General filing duties May be required to perform reception duties Planning and Organisation Organise and represent the area and University at events Analysis/Data Inputting Record data as required using Microsoft Office, other software and corporate systems Produce reports for routine analysis Maintain accurate records Maintain databases Additionally the post holder will be required to: Fulfil the employees' duties described in the University's health and safety policies and co-operate with the health and safety arrangements in place within the department.
