We areseeking a Centre Coordinator & DDSL who can bring excellent administrationand people skills to a newly appointed education and training centre, providingeducation to 16-19-year-olds.

You willbe responsible for creating an outstanding experience for our learners andworking closely with the Centre Manager and internal teams to track, report,and monitor the success of all young people's learning activities.

Qualifications & Experience
  • GCSE (or equivalent) in English and maths atgrade 4/ C or above
  • Experience with an administration role
  • Experienced in communicating with differentpeople
  • A strong, working knowledge of currentsafeguarding legislation and child protection procedures.
  • Experience in supporting individuals withdiverse learning needs and/or from vulnerable backgrounds.
  • Excellent interpersonal and communicationskills, with the ability to build rapport and trust with young people andstaff.
  • The ability to handle sensitive and confidentialinformation with the utmost professionalism and integrity.
  • Demonstrable resilience and the ability toremain calm and professional in challenging situations.
  • Strong organisational skills and the ability tomaintain meticulous records.
  • Business administration level or above
  • Experienceworking in an administration role within education
  • Formal DesignatedSafeguarding Lead (Level 3) training.
  • A professional qualificationin a relevant field (e.g., Youth Work, Social Work, Counselling).
  • Mental Health First Aidqualification.
Main Tasks & Responsibilities
  • To support the centre manager, colleagues, and learners toensure the smooth running of the education and training centre,maintaining high standards of communication, administration, health, andsafety, and safeguarding.
  • Oversee the centre admin processes and ensure systems areused
  • To coordinate learner enrolments to the study programme, leadon managing and evidencing learner attendance, and arrange meetings whenrequired,
  • Coordinate the use of petty cash and ensure all resources areavailable
  • Coordinate to ensure deadlines for admin tasks are met
  • To participate in meetings to evaluate individual learningplans, ensuring effective practice is in use.
  • Maintain security of confidential materials,
  • Diarise any off-site interventions with learners and assist inplanning, including travel arrangements
  • Assist with the management and storage of session plans andall appropriate resources
  • Organise learner registrations and exit paperwork
  • Promote inclusive learning and consistently maintainestablished standards of discipline within the centre.
  • To support learner recruitment
  • Support sessions with a covering of breaks
  • Ensure registers are up to date and authorise bursarypayments in conjunction with the centre manager
Reception and Customer Service
  • Be the first point of contact for all visitors and maintain aprofessional and welcoming reception area.
  • Be the primary first contact for external callers and dealwith queries promptly, taking messages and following up to ensureexcellent customer service is delivered.
  • Support the centre manager and organise promotional eventsand promote the centre programmes as appropriate, e.g. school careerevents/open days/awards ceremony.
  • Build an effectiverapport with learners and report to colleagues any issues which may impactlearning progress.
Administration
  • Lead on administrative requirements of head office andfunders, maintaining on-site learner records including learner/parentletters, bursary applications and certificate distribution.
  • Learner enrolments and ILPs are accurately completed
  • To ensure that learner bursaries are applied for andadministered efficiently, including daily travel payments.
  • Organise course marketing and open days.
  • Maintain information requirements of external bodies.
  • Manage all ordering of stationery and other resourcesrequired to ensure the smooth operation of the centre
  • Maintain effective communication with colleagues via email,telephone, and face-to-face meetings, communicating issues promptly.
  • Follow TCHC general housekeeping procedures.
  • Maintain the centre calendar and notify staff of importantevents, supporting all deadlines to be met.
  • Undertake any ad hoc tasks as required and be flexible incovering the work of team members as and when necessary.
Monitoring and Continuous Improvement
  • Undertake regular CPD and record it using company documents.
  • Undertake qualifications where suitable as part of your ownlearning and development.
  • Take proactive approaches to ensure Safeguarding and Preventis embedded into the delivery and ensure issues are raised accordingly, inline with TCHC's Safeguarding Policy, using the appropriate recording andreporting tools.
  • Prepare for and attend standardisation meetings as instructedby Quality Assurance
  • Ongoing management and administration tasks relating toTCHC's CRM and ePortfolio systems, including but not limited to sessionplanning, logging results and providing feedback to learners
  • Ensure any complaints are raised accordingly in line withTCHC's Complaints Policy
DDSL (Deputy Designated Safeguarding Lead)
  • Reporting and actioning any safeguarding issues raised withinthe centre.
  • Be familiar with TCHC policies and procedures linked tosafeguarding.
  • Liaising with the Safeguarding Manager to seek advice orrefer a case to them for further action in accordance with theSafeguarding Policy.
  • Providing an induction for new Team Members so they are awareof the safeguarding requirements of the centre, using the resourcesprovided.
  • Ensuring that TCHC is acting in a way that recognises itssafeguarding responsibilities in all its activities.
  • Being a point of contact for anyone within the centre whowants to report any form of abuse or suspected abuse, or who has anysafeguarding concerns and needs advice.
  • Attending internal and external safeguarding meetings asrequired.
  • Attending internal and external training for safeguarding asrequired.
  • Ensure that, where external formal educational trips areorganised, risk assessments are implemented to keep learners and staffsafe.
  • Create external partnerships with the local safeguardingpartnerships.
Note: The responsibilities serve as an initial outline for the tasks that the post holder will initially be expected to perform. Changes may occur over time to accommodate evolving job requirements and adapt to shifting circumstances.

Furthermore, given the dynamic nature of our operational environment, itis crucial for individuals in these roles to demonstrate flexibility and awillingness to travel to different work locations. This outline represents aninitial plan and will be subject to periodic review as part of our ContinuousProfessional Development process.

Certainaspects of their work involve handling confidential information, which shouldnot be disclosed to individuals outside the scope of their official duties.
