Job Description

The Buyer plays a key role in managing the end-to-end purchase order process, from reviewing purchase requisitions to maintaining accurate records in SAP and related databases. The role ensures timely and accurate processing of purchase orders, stock transfers and returns, while closely coordinating with logistics, warehouses and internal stakeholders to resolve issues and support continuous improvement in procurement and supply chain processes.

Responsibilities

  • Review and process purchase requisitions and SAP purchase orders in line with established procurement strategies, policies and procedures.
  • Act as the primary point of contact to troubleshoot and resolve purchase order issues, including updating past-due orders, adjusting prices and correcting quantities for over-ship, short-ship and scrap.
  • Maintain accurate and up-to-date purchase order records and related databases, including OTV systems.
  • Process stock transfer orders (STO) and return material authorisations (RMA) for warehouses, follow up on all related issues and ensure completion within required timeframes.
  • Coordinate with the logistics team and internal stakeholders on import and export customs matters to support compliant and timely shipments.
  • Monitor the progress of RMA activities and ensure that KBBs are shipped out by the end of each week.
  • Track and expedite incoming shipments, working with relevant teams to resolve receiving issues promptly.
  • Coordinate with warehouse teams to obtain serial number details and arrange shipment of goods to suppliers as required.
  • Communicate effectively within the procurement team, across functions and with key internal stakeholders and external partners to ensure smooth operational flow.
  • Suggest and help draft updates to departmental work instructions to reflect process improvements and best practices.
  • Manage small projects or lead cross-functional improvement teams focused on enhancing the purchase requisition to purchase order process.
  • Support testing and user acceptance testing (UAT) activities related to procurement or SAP process changes where required.

Essential Skills

  • Proven experience in procurement or buying, with hands-on responsibility for managing purchase requisitions and purchase orders.
  • Strong working knowledge of SAP for creating, updating and maintaining purchase orders and related data.
  • Practical experience in supply chain management, including coordination with logistics and warehouse teams.
  • Ability to manage STO and RMA processes, ensuring timely resolution of related issues.
  • Good understanding of import and export logistics and associated customs requirements.
  • Strong analytical and problem-solving skills to troubleshoot purchase order and receiving issues.
  • Excellent communication skills, with the ability to collaborate effectively across functions and with external partners.
  • High attention to detail and accuracy in maintaining purchase order records and databases.

Additional Skills & Qualifications

  • Relevant degree in supply chain management, logistics, procurement, business or a related discipline.
  • experience with supply chain, logistics and procurement processes in a complex operational environment.
  • Familiarity with testing and user acceptance testing (UAT) for system or process changes.
  • Ability to contribute to process documentation and departmental work instructions.
  • experience leading or participating in cross-functional improvement projects.
