We are looking for a receptionist for our Paediatric Outpatients Department.
The postholder will provide first class reception services to patients and their parents/guardians. They will also offer administrative support to Children's Service clinicians and other administrative and clerical workers, contributing to the overall efficient and effective running of all designated clinics.
The role comprises a wide range of specific duties and will require IT skills, along with strong communication and organisational skills. The postholder must be willing to undertake any additional training necessary to fulfil the role.
The successful candidate will work 37.5 hours per week and will need to be flexible, providing cover during periods of annual leave or sickness.
Responsibilities- Answer incoming calls in a friendly, courteous and polite manner, referring callers to the appropriate person where necessary and responding appropriately to queries.
- Register patient details on the patient administration system, ensuring a high level of data accuracy in patient demographic information.
- Provide support, together with relevant and helpful information, to patients and colleagues within the remit of the department.
- Make outgoing calls where necessary.
- Book and reschedule appointments in line with the Trust Access Policy, calling patients as needed.
- Ensure patient pathway status is identified and appointments are booked accordingly, in line with regulatory access targets.
- Generate appointment letters within the Electronic Patient Record system (EPR) to send to patients.
- Inform supervisor and services of any capacity issues.
- Check new referral data and confirm whether the patient has a Medical Record Number (MRN) within the EPR or appropriate clinical system; ensure no duplicate records are created.
- Good level of general education.
- ECDL Customer Service Training.
- Competent in Microsoft Office programs.
- Understanding of information governance issues and how to manage confidential patient information.
- Knowledge of NHS 18 week and cancer pathway process.
- Knowledge of Passport Allocation System (PAS).
- Experience working in an administrative role.
