Job Description
Band 2 Outpatient Receptionist

The closing date is 29 April 2026.

An opportunity has arisen for a Band 2 Receptionist/Admin Clerk to join busy outpatients teams. The post covers reception areas within Solihull Hospital, booking patients for appointments, working through outpatient waiting lists to book follow ups, and other administrative duties.

We seek enthusiastic, committed individuals with excellent communication skills.

Although clinics mainly run Monday to Friday, extra weekend or twilight clinics up to 8 pm may be required. The post holder should be flexible and may need to work at any of our four sites if service needs arise.

Schedule: 1 x 37.5 hours per week and 1 x 22.5 hours per week.

Main duties of the job

Working on the reception desk: meeting and greeting service users, handling general enquiries, directing patients appropriately, answering telephone calls, and carrying out administrative duties.

  • Welcome staff, patients and visitors in a friendly and professional manner.
  • Ensure care records are available and in order at the start of clinic.
  • Cross reference appointment lists, identify patients who do not attend and escalates as appropriate.
  • Receive and open incoming post and take required action.
  • Review electronic correspondence, disseminate appropriately, and manage faxes in line with Trust Guidelines.
  • Photocopy and distribute copies as instructed by the line manager.
  • Undertake filing.
  • Answer telephone calls courteously, record all messages accurately and refer on appropriately.
  • Maintain confidentiality of records in conversation and in writing.
  • Keep the reception area tidy.
  • Organise ordering of stationery and storage.
  • Report any problems to line manager.
  • Arrange patient transport and interpreters as requested.
  • Chase test results from other departments and secretaries.
Qualifications
  • Good general education e.g., GCSE English and Maths A C or GCSE Level 9 4.
Experience
  • Experience with Microsoft Office packages (Word, Excel, Outlook).
  • Experience using IT systems.
  • Experience working in a busy office/customer care environment.
  • Experience working in healthcare.
